Are you highly organized, resourceful and someone who can see both the big picture and the details? Do you enjoy bringing order to competing priorities, anticipating what needs to happen next and finding solutions along the way? If so, RisingOaks Early Learning wants to hear from you.

RisingOaks Early Learning Ontario is looking for a full-time Executive Assistant to support our CEO and board of directors. We’re a growing, not-for-profit organization with ten early learning and child care centres across Waterloo Region, soon to be eleven, and a team of 250+ employees. We’re continuing to expand our programs, strengthen our organizational capacity and grow our sector leadership. As Executive Assistant, you'll have a front-row seat to the action, working closely with senior leadership, supporting board governance and strategic initiatives, and helping keep our administration office running smoothly. It's an exciting time to join RisingOaks and help shape our future as we grow and advance early learning and child care.

About the Position:

Working closely with the CEO, you'll provide proactive administrative support, take a lead role in coordinating the activities of the board of directors and its committees, and help keep organizational priorities and projects moving forward. As part of a small, collaborative administrative team, you'll also pitch in with general office administration and day-to-day problem-solving. Success in this role means taking initiative, anticipating needs, managing competing priorities and exercising sound judgment.

As a member of the administration team, you’ll be responsible to:

  • Provide proactive support to the CEO, including calendar and email management, scheduling and prioritizing communications.
  • Anticipate the CEO's needs, conduct research and prepare information to support meetings and decisions.
  • Take a lead role in coordinating the board of directors and its committees, including meeting schedules, agendas, materials, logistics and follow-up on action items. Provide similar administrative support to the leadership team and the DEIB committee.
  • Support the CEO in their role as corporate Secretary, including drafting briefing notes, meeting minutes, maintaining governance records, and applying relevant by-laws and procedures.
  • Support government relations and advocacy initiatives through research, coordination and information gathering.
  • Coordinate organizational projects, monitor timelines and follow up on commitments.
  • Build positive, trusting relationships with board members, employees and partners.
  • Maintain accurate, organized and confidential electronic records (e.g., correspondence, meeting materials, reports, by- laws, policies, governance documents).
  • Contribute to the smooth operation of the administration office, including meeting coordination, reception, vendor relations, general office administration, and technology management.

RisingOaks is building for the future, and we want you to be a part of it.

Desired Qualifications & Experience :

  • Post-secondary education in a relevant field (e.g., office administration – executive, business administration), or an equivalent combination of education and experience.
  • 2+ years of experience in an executive or senior administrative support role. Board support experience is a significant asset.
  • Certified Administrative Professional (CAP) designation is an asset.
  • Strong proficiency in MS Office (Outlook, Excel, Word, PowerPoint, Access, Teams) and IOS systems (iPads)
  • Strong organizational skills, attention to detail, initiative and sound judgment.
  • Demonstrated discretion and professionalism when handling confidential information.
  • Previous project coordinator experience in a not-for-profit, charitable environment is an asset
