Position Summary

Reporting to the Operations Manager, the Dispatch Coordinator plays a vital role in ensuring seamless transit operations. This position is responsible for dispatching transit operators, maintaining fleet readiness, coordinating with internal teams and contractors, and responding quickly to service disruptions or mechanical issues. With a strong mix of technical skills, mechanical knowledge, and people management, the Dispatch Coordinator supports daily service delivery and contributes to operational efficiency and continuous improvement. The role also involves using multiple digital platforms, providing real-time support to drivers, and actively collaborating with leadership to implement best practices.

Responsibilities:

Provide clear direction and operational support for a large team of Transit Operators.
Involved in dispatching and scheduling of Transit Operator shifts, as required.
Maintain driver availability and qualifications roster for scheduling.
Responsible for dispatching of buses to transit routes.
Create the nightly bus wash parking plan.
Liaise with other Dispatchers in the transfer of operational information.
Maintain the daily documentation of dispatch operations.
Trouble shoot unplanned operational manpower shortages.
Organize with mechanics the availability of buses requiring maintenance.
Plan the movement of buses in and out of Calgary for outsourced repairs.
Collaborate with the Operations Manager to help ensure optimal scheduling of bus maintenance as it relates to service delivery, as required.
Organize prompt response for mechanical breakdowns, such as tow trucks, rescue and replacement buses, etc.
Drive and swap buses as required for operations.
Charge e-buses as necessary during office hours.
Submit mechanical issues reported by drivers in Whip Around, create repair work orders, and submit them to the Town of Banff mechanics.
Communicate with Transit Operators regarding changes to schedules and routes, as required.
Network and create good working relationships with Drivers and the Wash Crew.
Provide feedback regarding operator performance to the Operations Manager.
Ensure service disruptions are communicated in a timely matter both internally and externally.
Liaise and consult with management on best practices and processes to ensure continuous improvement.
Exchange information with all Roam departments, Town of Banff Fleet Services, and various contractors.
Assist with the development and implementation of policies, procedures, and best practices for employees.
Review pre and post trips to ensure compliance with government regulations and safe operation of fleet.
Participate in regular Operational and other meetings.
Assist in planning transit disruptions around local events and road closures.
Assists as needed with ITS troubleshooting such as farebox issues.
Checks lost and found daily and input details into the register.
Other duties as required.

Qualifications

Education Requirement:

High School Diploma or GED is preferred; A post-secondary education in a related field is an asset.
An Alberta Class 2Q driver’s license is required.

Experience:

2+ years’ experience in a transit, transportation, operations required.
Experience with fleet scheduling and maintenance coordination is advantageous.

Knowledge, skills, and abilities:

Strong working and mechanical knowledge of fleet equipment.
Proficient in using transit software (i.e. Optibus, Humanity, Consat, Whip Around) and internal office applications, including Microsoft Office Suites.
Familiarity with Alberta transportation regulations, safety standards, and pre/post-trip inspection requirements.
Proven ability to work independently as well as with diverse teams.
Ability to problem solve effectively.
Excellent English oral and written communication skills.
Highly organized and able to multitask in a fast-paced environment.

Other Requirements/Conditions:

Must be legally entitled to work in Canada (proof will be required).
Must pass police security clearance (proof will be required).
Must be available to work on a rotating schedule, inclusive of weekends.
Occasional on-call work is required.
