Original job description

Our client is seeking a dependable, detail-oriented Administrative Assistant to support the day-to-day operations of their business. This is an excellent opportunity for a well-rounded administrative professional who enjoys keeping things organized, managing a variety of responsibilities, and ensuring the office runs smoothly.

Working directly with the business owner, you will play an important role in managing administrative functions, assisting with basic bookkeeping, coordinating payments, and maintaining accurate records. The ideal candidate is proactive, organized, trustworthy, and comfortable taking ownership of their responsibilities in a hands-on environment.

Industry experience would be an asset, but a strong administrative background, attention to detail, and willingness to learn are equally important.

Key Responsibilities

  • Provide day-to-day administrative support directly to the business owner.
  • Manage incoming and outgoing mail, general correspondence, and office documentation.
  • Prepare bank deposits, collect payments, and assist with payment processing.
  • Process accounts payable and ensure invoices and payments are handled accurately and on time.
  • Assist with basic bookkeeping and routine financial administration using Sage 50.
  • Maintain organized files, records, and documentation, ensuring information is accurate and up to date.
  • Support general office coordination and help manage the day-to-day needs of the business.
  • Monitor outstanding administrative tasks and follow through to ensure nothing is overlooked.
  • Handle confidential information with discretion and professionalism.
  • Identify administrative priorities and take initiative to keep operations running efficiently.

Qualifications & Experience

  • Previous experience in an administrative, office coordination, or administrative assistant role.
  • Basic bookkeeping or accounts payable experience is an asset.
  • Strong attention to detail and a diligent, organized approach to work.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Experience with Sage 50 (Simply Accounting) is an asset; training can be provided.
  • Strong time management skills and the ability to manage multiple priorities.
  • A proactive, dependable approach with the ability to work independently and take ownership of daily responsibilities.
  • Professional communication skills and the ability to work closely with the business owner.
  • Industry experience is considered an asset but is not essential for the right candidate.

Compensation & Benefits

  • Base salary of $50,000–$60,000, depending on experience.
  • Potential annual bonus of approximately $5,000–$10,000.
  • Full benefits package after three months of employment.
  • Two weeks of vacation, with flexibility to increase to three weeks.
  • Flexible approach to time off.
  • Consistent weekday schedule, Monday to Friday, 8:30 a.m. to 5:00 p.m.

The Ideal Candidate

This position is ideal for someone who takes pride in being organized, reliable, and detail-oriented. You are comfortable handling a variety of administrative and basic bookkeeping responsibilities, enjoy working closely with business leadership, and take initiative to ensure daily tasks are completed accurately and efficiently. Great opportunity if you are looking to pursue your CPA.

If you are looking for a hands-on administrative role where you can make a meaningful contribution to the smooth operation of a business, we would welcome the opportunity to connect with you.
