Original job description

We are seeking an experienced Executive Assistant to provide high-level administrative and governance support to senior leadership and a Board of Directors. This role is ideal for a polished, highly organized professional who is comfortable working with executives, board members, and confidential information in a fast-paced environment. This is a hybrid opportunity located in Guelph.

What you’ll do:

Provide senior-level administrative support to executive leadership and the Board of Directors
Coordinate Board and committee meetings, including scheduling, logistics, agendas, meeting materials and follow-up
Prepare and distribute Board packages, reports, presentations and other governance materials
Record and prepare Board and committee meeting minutes, tracking decisions and action items
Maintain Board calendars, records, policies and other governance documentation
Coordinate complex executive calendars, meetings and appointments
Draft and proofread correspondence, presentations and executive-level communications
Serve as a key point of contact between executives, Board members and internal/external stakeholders
Handle sensitive and confidential information with a high level of discretion
Support special projects and other executive-level initiatives as required

What we’re looking for:

5+ years of experience as an Executive Assistant or Senior Executive Assistant
Previous experience directly supporting a Board of Directors and/or Board committees
Strong understanding of Board governance processes and meeting protocols
Experience preparing Board packages, agendas and meeting minutes
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Ability to manage competing priorities and work independently

What we offer:
