Original job description

We are looking for a Payroll Administrator to support accurate and timely payroll operations for a busy healthcare organization in Waterloo, Ontario. This role is ideal for someone who combines strong technical payroll knowledge with a service-oriented approach when assisting employees and internal partners. You will play an important part in maintaining payroll accuracy, meeting legislative obligations, and contributing to efficient day-to-day administration.

Responsibilities:

Manage end-to-end bi-weekly payroll processing for a varied workforce that includes salaried, hourly, unionized, and piece-rate employees.

Review payroll registers and related reports to identify discrepancies, confirm accuracy, and resolve issues before payments are issued.

Ensure employees, contractors, and other payees receive correct compensation within established deadlines.

Prepare and maintain payroll-related records, including vacation balances, statutory deductions, garnishments, benefits, and other payroll adjustments.

Work closely with Human Resources and other internal teams to keep employee information current and aligned with payroll requirements.

Provide support for employment documentation and payroll forms, including records of employment, tax documents, and remittance-related paperwork.

Respond to payroll inquiries from staff members and external agencies in a thorough and timely manner.

Coordinate year-end payroll activities, including the preparation and distribution of T4 slips.

Contribute to process improvements that strengthen payroll quality, compliance, and operational efficiency.

Requirements Of the Position:

University degree or college diploma in Accounting, Business, Finance, or a related discipline.

At least 3 years of experience in payroll, accounting, or human resources.

Practical understanding of Canadian payroll legislation and payroll compliance requirements.

Experience using payroll systems

Strong proficiency with Microsoft Office, particularly Word and Excel.

High level of accuracy, organization, and ability to manage multiple priorities effectively.

Excellent verbal and written communication skills in English, with a customer-focused approach.

PCP Designation (Payroll Compliance Practitioner) completed, in progress, or nearing completion
