Original job description

We are seeking a highly organized, discreet, and resourceful Personal Assistant to provide comprehensive support to two high-net-worth individuals. This role requires excellent attention to detail, strong communication skills, and the ability to manage multiple priorities across personal, property, and lifestyle needs. The ideal candidate will be proactive, trustworthy, and comfortable working in a fast-paced, dynamic environment.

Key Responsibilities:

Calendar & Lifestyle Management

Manage and coordinate complex personal and family calendars.

Schedule appointments, social engagements, and events.

Ensure seamless daily planning and time management.

Property Management

Oversee the management and upkeep of three properties: a primary residence in Vancouver, a holiday home in Hawaii, and a new home currently under construction in Whistler.

Liaise with contractors, property managers, maintenance staff, and vendors.

Coordinate household repairs, renovations, and ongoing maintenance.

Manage household staffing, including hiring and scheduling.

Travel & Accommodation

Research, plan, and book domestic and international travel for both business and personal purposes.

Arrange accommodations, ground transportation, dining reservations, and itineraries.

Provide on-call support for last-minute changes or travel disruptions.

Financial & Administrative Support

Manage household and personal expenses, including utility bill payments, vendor invoices, and expense tracking.

Work with accountants and financial advisors as required to ensure accurate record-keeping.

Personal Errands & Lifestyle Support

Handle day-to-day personal errands such as picking up mail, dry cleaning, and shopping.

Organize personal events, appointments, and activities.

Ensure all aspects of personal and household life run smoothly.

Qualifications:

Proven experience as a Personal Assistant, Executive Assistant, or Household Manager (experience supporting high-net-worth individuals an asset).

Strong organizational and multitasking skills with a keen eye for detail.

Excellent communication skills and professional demeanor.

High level of discretion, integrity, and confidentiality.

Tech-savvy with proficiency in Microsoft Office/Google Suite and travel booking platforms.

Flexibility to work outside standard hours and travel occasionally.

Valid driver’s license required.
