WHO WE ARE
Opened in 1914 and welcoming over 1.3 million visitors annually, the Royal Ontario Museum (ROM) is Canada's most-visited museum, ranking among the top 10 cultural institutions in North America. At ROM, we are dedicated to building and sharing global collections, sharing knowledge, inspiring learning, and fostering community engagement. As a globally recognized field research institute, ROM houses an impressive collection of over 18 million artworks, cultural objects, and natural history specimens, showcased in over 40 galleries and exhibition spaces. We are committed to creating a space where art, culture, and nature intersect, connecting people and communities to the past, present and shared future.

As we continue to work toward our goals to transform and evolve as one of the world’s foremost 21st-century museums, we seek passionate and dynamic team members who embody our mission and values.

WHO WE NEED

We are seeking a School Experiences Organizer to help create welcoming, organized, and seamless experiences for school groups participating in ROM’s onsite and virtual learning programs.

Working under the supervision of the School Experiences Coordinator, you will be an important point of contact for educators and school groups before and during their ROM experience. You will welcome visiting groups, coordinate bookings and schedules, respond to inquiries, process payments, and ensure educators and students have the information and resources they need for a successful visit.

Behind the scenes, you will help keep a busy school programming operation running smoothly by maintaining accurate reservations, coordinating learning spaces and schedules, preparing program materials, and adapting quickly when plans change. This role is well suited to someone who combines exceptional customer service with strong organization, attention to detail, and enthusiasm for supporting educational experiences.

HOW YOU WILL MAKE AN IMPACT
  • Welcome school and educational groups onsite and virtually, providing friendly, professional service and clear information about their programs, schedules, and ROM visit
  • Coordinate group arrivals, attendance, coat and lunch arrangements, teaching staff connections, self-guided activities, and other day-of-visit logistics
  • Manage program reservations using ROM’s booking systems, confirming details, updating attendance, revising bookings, and coordinating schedules and learning spaces
  • Respond to educator and client inquiries by phone, email, and in person, providing accurate information and helping resolve booking, scheduling, weather, or technical issues
  • Calculate and process payments, prepare invoices when required, and support daily point-of-sale reconciliation and cash-out procedures
  • Adapt schedules and arrangements in real time to accommodate late arrivals, walk-up groups, program changes, and other unexpected circumstances
  • Support school program administration, including preparing daily schedules, maintaining attendance and revenue information, completing data entry, and communicating logistical updates to program staff
  • Prepare and coordinate the shipment of educational materials for participating schools and special programs
  • Provide thoughtful and inclusive service when navigating sensitive topics or complex interactions, demonstrating empathy, cultural awareness, and respect for diverse perspectives
WHAT YOU BRING
  • High school diploma (Grade 12) or an equivalent combination of education and experience
  • Minimum two (2) years of administrative and customer service experience, preferably within cultural, educational, visitor-facing, or similarly service-oriented environments
  • Experience with cash handling, payment processing, and point-of-sale systems
  • Strong organizational and multitasking skills, with excellent attention to detail and the ability to coordinate multiple bookings, schedules, and priorities
  • Excellent written and verbal communication and interpersonal skills, with a professional, welcoming, and solutions-focused approach to customer service
  • Demonstrated ability to navigate sensitive conversations with empathy, cultural awareness, and respect for diverse perspectives
  • Proficiency with standard workplace applications, including word processing, spreadsheets, and email, and comfort learning and using customized booking systems
  • Sound judgment and problem-solving skills, with the ability to respond calmly and effectively when schedules or circumstances change
  • Ability to work effectively both independently and collaboratively as part of a busy team
  • French-language skills are a strong asset
WHAT WE OFFER
  • Perks: Free ROM membership for permanent full-time and part-time staff, plus discounts to over 200 attractions through Attractions Ontario
  • And more!
