Original job description

We are seeking a Project Coordinator – Construction & Tenant Improvements to join our real estate development team.

Reporting to the Development Manager, the Project Coordinator will work closely with the Development Manager and Senior Development Coordinator on the day-to-day coordination and delivery of shopping centre construction, commercial renovations, landlord work, and tenant improvement (TI) projects.

This is a hands-on role with significant exposure to active mall redevelopment and construction projects, including new tenant spaces, renovations, base-building modifications, building upgrades, and site improvements.

You will coordinate with tenants, general contractors, architects, engineers, consultants, property management, leasing, and suppliers to help move projects from design and budgeting through procurement, construction, occupancy, and close-out.

What You’ll Do

Support the Development Manager and Senior Development Coordinator in the day-to-day coordination and delivery of construction, redevelopment, renovation, landlord work, and TI projects.
Coordinate with tenants, contractors, architects, engineers, consultants, property management, leasing, and suppliers to keep projects organized and moving forward.
Coordinate tenant and landlord construction, including tenant design requirements, landlord work, base-building modifications, utilities, access, shutdowns, deliveries, and construction interfaces.
Review architectural, engineering, tenant and construction drawings, including shop drawings, and assist in identifying coordination issues, scope gaps, constructability concerns, and required revisions.
Attend construction meetings and site visits, prepare meeting minutes, maintain action logs, document progress and issues, and proactively follow up through completion.
Coordinate and track RFIs, shop drawings, submittals, site instructions, quotations, change orders, deficiencies, and other construction documentation.
Assist with tendering and procurement, including scopes of work, contractor quotations, bid comparisons, contract documentation, and tracking of long-lead items.
Monitor construction schedules, milestones, budgets, invoices, change orders, and forecasts, and flag potential cost or schedule issues.
Support inspections, occupancy, tenant turnover, deficiencies, warranties, O&M manuals, as-built documentation, and project close-out.
Maintain accurate and organized drawings, contracts, schedules, budgets, meeting records, action logs, correspondence, and project documentation.

The construction-documentation, procurement, schedule/cost monitoring and close-out responsibilities reflect the core project-coordination functions identified in the GC's role, adapted here for an owner/developer position.

What You Bring

Diploma or degree in Construction Management, Architectural Technology, Engineering Technology, Building Science, Interior Design, or a related field.
2+ years of relevant experience in commercial construction, tenant improvements, construction coordination, general contracting, architecture, engineering, or real estate development.
Experience with commercial interiors, retail construction, tenant improvements, or shopping centre construction is a strong asset.
Good understanding of the construction process, from design and procurement through construction, turnover, and close-out.
Ability to read and understand architectural, engineering, and construction drawings and specifications.
Familiarity with RFIs, shop drawings, submittals, change orders, tendering, progress draws, deficiencies, and project close-out.
Proficiency with Bluebeam and Microsoft Office; experience with AutoCAD, Revit, MS Project, Procore, or similar software is an asset.
Exceptional attention to detail and organizational skills, with the ability to manage multiple projects, deadlines, and changing priorities.
Strong communication skills and the confidence to coordinate and follow up directly with contractors, consultants, tenants, and property management.
A proactive, flexible, dependable, and solutions-oriented approach, with strong follow-through.
Comfortable working both in the office and on active construction sites and occupied commercial properties.

On any given day, you might be reviewing a tenant’s drawings, walking a site with a contractor, coordinating a mechanical or electrical issue, following up on an RFI, comparing quotations, tracking a change order, reviewing a construction schedule, or preparing a space for tenant turnover.

You are someone who follows things through to completion. You pay attention to the details, stay organized across multiple projects, communicate clearly, and are comfortable following up with people to keep projects moving.

You are also interested in understanding the bigger picture of real estate development and how design, leasing, budgeting, procurement, and construction come together to deliver successful projects.
