Executive Operations Coordinator

RZOLV Technologies Inc.

About RZOLV

RZOLV Technologies (TSXV: RZL) is a Canadian technology company developing and commercializing innovative, non-cyanide mineral processing technology for the global mining industry.

Our technical, commercial and international activities are growing quickly, and we are looking for an exceptional Executive Operations Coordinator to help keep our leadership team organized, prepared and moving forward.

This is a broad, hands-on position with direct exposure to executive management, international business development, investor relations, conferences and events, marketing, technology commercialization and corporate operations.

The Role

You will work directly with our executive team as a trusted coordination partner across executive scheduling, corporate operations and follow-through.

This is not a traditional administrative assistant position. We are a growing public technology company with a small, hands-on team, and we are looking for someone who can take ownership, anticipate what needs to happen next and make sure important commitments do not fall through the cracks.

Executive Support | Approximately 40%

Manage executive calendars, meetings, appointments and priorities.
Coordinate domestic and international travel, including flights, hotels, transportation and detailed itineraries.
Organize internal and external meetings with customers, investors, partners, government organizations, consultants and other stakeholders.
Prepare agendas, briefing materials and meeting packages.
Track action items, commitments and deadlines through to completion.
Draft routine correspondence and assist with preparation and formatting of presentations, reports and corporate documents.
Help ensure the executive team are prepared for important meetings, presentations and external engagements.

Corporate Operations & Coordination | Approximately 30%

Coordinate day-to-day office and corporate administration, including vendors, facilities, supplies, purchasing, business services and shipments.
Coordinate administrative requirements associated with the company's laboratory and technical operations as required.
Support expense processing, invoices and coordination with the CFO and accounting team.
Coordinate contracts, NDAs, document signatures and filing.
Assist with employee and contractor onboarding documentation.
Maintain organized corporate records, contact information and administrative systems.
Assist with documentation, deadlines and reporting associated with grants, government programs and other funding initiatives.
Help improve internal administrative processes and systems as the company grows.
Provide coordination support to other members of the team when capacity allows.

Public Company, Investor Relations & Events | Approximately 20%

Coordinate board meetings, schedules and preparation of board materials under the direction of management.
Assist with coordination involving legal counsel, the transfer agent, investor relations providers and other external advisors.
Coordinate investor meetings, roadshows and corporate presentations.
Organize the company's participation in conferences, trade shows and industry events, including registration, booths, marketing materials, travel, meetings and logistics.
Coordinate executive and business development meetings around conferences and events.
Assist with post-event follow-up and organization of contacts and opportunities.
Help maintain approved corporate presentations, fact sheets, website content, social media and other marketing materials.
Handle sensitive and confidential corporate information with a high degree of discretion.

Business Development Support | Approximately 10%

Under the direction of the senior management:

Research prospective customers, strategic partners and relevant industry organizations.
Identify and organize relevant business contacts.
Maintain customer, partner and opportunity lists and support CRM administration.
Coordinate introductory meetings and follow-up discussions.
Track proposals, customer testing programs, samples, requested information and follow-up activities.
Assist with preparation of presentations and other business development materials.
Help ensure important opportunities continue moving forward and follow-ups are completed on time.

What We're Looking For

4–8 years of relevant experience in executive support, corporate coordination, business operations or business administration, including experience supporting senior leaders.
Exceptional organization, prioritization and follow-through.
Ability to manage competing priorities from multiple executives in a fast-moving environment.
Strong written and verbal communication skills.
Confidence interacting professionally with executives, investors, customers, partners, advisors and international stakeholders.
Strong judgment and discretion when handling confidential information.
Strong Microsoft 365 skills, particularly Outlook, PowerPoint, Word and Excel.
Comfortable learning and using CRM, project management, collaboration and AI productivity tools.
Resourceful and solutions-oriented, with the ability to take ownership rather than waiting for detailed instructions.
Strong attention to detail without losing sight of the bigger picture.

Experience in any of the following would be an asset:

Experience with a TSXV or TSX-listed company; mining, technology, capital markets or investor relations; international travel and trade shows; business development coordination; government funding programs; or corporate communications.

Industry experience is an asset, but we are primarily looking for an outstanding organizer and communicator who can learn our business and become a trusted member of the leadership team.

Work Location

This is a full-time, on-site position at our North Vancouver office and laboratory.

Some flexibility outside normal business hours will occasionally be required for international meetings, conferences and travel. Occasional business travel may also be required.
