Intake Coordinator

Job Summary
We are seeking a professional, organized, and client-focused Intake Coordinator to join our team. The Intake Coordinator will be responsible for being one of the first points of contact for prospective clients, gathering relevant information, understanding their needs, and ensuring that inquiries are handled efficiently and professionally.
The ideal candidate has excellent communication and organizational skills, is comfortable speaking with clients, and can manage multiple inquiries while maintaining a high level of professionalism and attention to detail.
Responsibilities
- Respond to inquiries from prospective clients by phone, email, and other communication channels.
- Conduct initial client intake and gather accurate information about each inquiry.
- Listen carefully to clients and understand the nature of their legal needs.
- Collect and organize relevant client information and documentation.
- Enter and maintain accurate client information in the firm’s systems.
- Schedule consultations and coordinate appointments when appropriate.
- Follow up with prospective clients as needed.
- Communicate professionally and respectfully with clients at all times.
- Coordinate with lawyers and other team members regarding new inquiries.
- Maintain confidentiality and handle sensitive client information appropriately.
- Follow established intake procedures and ensure information is recorded accurately.
- Perform other administrative and client-support duties as required.

- Strong computer skills and familiarity with common office software.
- Previous experience in client intake, customer service, administration, or a legal environment is an asset.
- Previous experience working in a law firm or professional services environment is an asset.
