Project & Property Coordinator/ Executive Assistant (Energy Sector)

📍 Location: Richmond, BC / Alberta / Saskatchewan

✈️ Travel Requirement: Extensive travel required

🗣️ Language Requirement: English & Mandarin (Required)

Please note: Richmond, BC is the primary work location for this position. However, due to the significant travel requirements and the energy-focused nature of the role, this opportunity may also be advertised in Calgary, AB to attract candidates with relevant oil and gas industry experience. The successful candidate must be willing to travel regularly throughout Alberta and Saskatchewan, including oil and gas field operations.

This unique role provides exposure to both the hospitality and energy industries and requires the successful candidate to spend approximately:

• One-third of their time in Richmond, BC

• One-third of their time traveling throughout Alberta and Saskatchewan

• One-third of their time working directly at oil and gas field operations in Alberta and Saskatchewan

Frequent travel, including visits to remote work sites, is a key requirement of this position.

About the Role

Reporting directly to the Owner and under the day-to-day supervision of the Vice President, President's Secretary, Senior Executive Assistant, Project Manager, and HR Manager, the Project & Property Coordinator plays a key role in supporting the operations, projects, and strategic initiatives of the company's hospitality and energy businesses.

Key Responsibilities

Provide administrative and coordination support to the President's Secretary, Senior Executive Assistant, Project Manager, and HR Manager.

Coordinate calendars, meetings, travel arrangements, and schedules.

Provide administrative support for recruitment, onboarding, HR activities, and corporate communications.

Translate reports, correspondence, and business communications between English and Mandarin.

Assist with project coordination, document management, meeting minutes, and follow-up actions.

Assist with rental property administration, including tenant communications, maintenance coordination, vendor scheduling, and record management.

Prepare, organize, and maintain confidential documents, reports, and records.

Coordinate corporate meetings, events, and special projects.

Liaise with internal teams, contractors, vendors, and external stakeholders.

Travel regularly throughout British Columbia, Alberta, and Saskatchewan, including visits to oil and gas field operations.

Perform other administrative, project coordination, property management, and operational duties as assigned.

Qualifications & Requirements

Mandatory Qualifications

✅ Experience and/or education in the Oil & Gas industry

✅ Fluency in English and Mandarin (written and verbal)

✅ Valid driver's license

✅ Ability and willingness to travel extensively

✅ Ability and willingness to work in remote oil and gas field environments

✅ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
