About the Role

Samee Metals is seeking an experienced, proactive, and highly resourceful Personal Assistant to provide high-level, comprehensive management of personal, household, and family logistics for our President.

This role ensures the President’s personal life and household operate seamlessly. Working closely with the President, his spouse, the Executive Assistant, the executive driver, and household support staff, you will take ownership of all personal logistics, vendor management, and everyday problem-solving.

Note: This position is distinct from the President’s Executive Assistant, who handles corporate priorities, business meetings, and company operations. The Personal Assistant focuses exclusively on personal, household, and family affairs.

Key Responsibilities

Personal & Family Logistics

Manage and maintain the President’s personal and family calendar, coordinating closely with the Executive Assistant to prevent scheduling conflicts between business and personal commitments.
Provide proactive reminders, itineraries, and essential materials ahead of personal appointments and activities.
Liaise regularly with the President and his spouse to establish daily and weekly priorities.
Direct transportation logistics in coordination with the executive driver.
Systematically track, prioritize, and execute personal requests and outstanding action items.

Household Management & Vendor Oversight

Oversee full-scope household maintenance, repairs, deliveries, and recurring vendor services (e.g., HVAC, pool care, landscaping, trade contractors, house cleaning).
Source, vet, and contract high-quality vendors and service providers; obtain competitive quotes and negotiate terms.
Serve as the primary point of contact for external technicians, ensuring access, inspecting quality of work, and following up on pending projects.
Establish and track a preventative, seasonal maintenance schedule for all properties.
Coordinate schedules and workflows among on-site household staff and contractor teams.
Brief the President and his spouse on key property decisions requiring capital approval.

Personal Administration & Financial Oversight

Organize and track personal receipts, warranty documents, appliance records, and essential contacts.
Oversee routine personal administration, including membership renewals, subscriptions, insurance forms, and vehicle documentation.
Reconcile personal expenses, track household budgets, and organize documentation for review.
Draft clear, professional personal correspondence on behalf of the President or his spouse.
Maintain a comprehensive, updated household operational manual and vendor directory.
Maintain absolute discretion and strict confidentiality regarding all personal, financial, and family matters.

Errands, Shopping & Event Coordination

Execute complex local errands, specialized purchasing, deliveries, and returns across the local region.
Handle personal, family, and holiday gift sourcing, procurement, and custom wrapping.
Coordinate high-end restaurant reservations, family celebrations, private gatherings, and seasonal events.
Manage vehicle upkeep, including scheduling routine servicing, repairs, and detailing.
Evaluate products or services on request and present clear, curated options.

Personal Travel & Itinerary Planning

Plan and execute comprehensive travel itineraries for personal and family trips (flights, private ground transport, boutique accommodations, and curated activities).
Ensure all passports, visas, health requirements, and travel documents are current and arranged well in advance.
Provide personal travel support linked to corporate trips in coordination with the Executive Assistant.

Qualifications & Requirements

Experience: 3+ years of proven experience as a Personal Assistant, Family Office Coordinator, High-Net-Worth Household Assistant, or Senior Administrative Assistant supporting senior executives.
Organizational Mastery: Exceptional time-management, prioritization, and multi-tasking skills with sharp attention to detail.
Proactive Problem Solver: Able to anticipate needs, resolve unexpected issues independently, and handle last-minute requests calmly and efficiently.
Vendor & Staff Management: High confidence in vetting, negotiating with, and directing contractors, trade professionals, and household personnel.
Technical Proficiency: Fluent with Google Workspace (Calendar, Gmail, Docs, Sheets), mobile apps, travel booking engines, and personal organization tools.
Discretion & Professionalism: Uncompromising integrity, tact, and commitment to confidentiality regarding private family affairs.
Licensing & Travel: Valid Ontario G driver’s licence, clean driving record, and a reliable vehicle.

Schedule & Working Conditions

Location: Primarily in-person at the President's residence/office in Puslinch, Ontario.
Hours: Monday through Friday during daytime hours, with occasional flexibility required for urgent household matters, evening events, or travel support.
Regional Travel: Occasional local travel within Guelph, Hamilton, the Greater Toronto Area (GTA), and surrounding areas.
Reimbursement: Approved work-related mileage and out-of-pocket expenses are reimbursed in accordance with company policy.
