The Executive Assistant provides senior-level administrative and strategic support to the Senior Executive Vice President within Global Anti-Money Laundering. The role is responsible for ensuring the efficient management of executive priorities, coordinating day-to-day operations, facilitating effective communication, and supporting business activities through strong organizational, stakeholder management, and administrative expertise in a fast-paced and complex environment.

Is this role right for you? In this role you will:

Provide senior-level administrative, calendar, and time management support to the Senior Executive Vice President & Group Chief Anti-Money Laundering Officer.
Manage complex calendars, prioritize competing demands, coordinate meetings, and resolve scheduling conflicts to ensure alignment with executive and business priorities.
Act as a trusted liaison and gatekeeper for internal and external stakeholders, including colleagues, clients, customers, and vendors.
Coordinate meetings, offsites, community events, and external functions, including logistics, agendas, materials, and meeting minutes.
Prepare, compile, and validate information for executive communications, presentations, reports, speeches, and other business materials.
Manage incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
Coordinate executive travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
Process expense reports and maintain accurate records of expenditures and billings.
Exercise discretion, confidentiality, and sound judgment when handling sensitive information and supporting executive priorities.
Identify and implement administrative process improvements while ensuring compliance with business controls and organizational policies.
Support risk management, compliance, AML/ATF, sanctions, conduct, and business continuity requirements, including serving as the department Business Continuity Plan planner when required.
Foster a customer-focused, inclusive, and high-performance culture by building strong relationships and demonstrating Scotiabank’s values and Code of Conduct.

You have a minimum of 2 years of experience in an Administrative Assistant or similar administrative support role.
You have advanced proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
You have experience working within large, complex organizations and managing relationships with a broad range of stakeholders.
You possess exceptional organizational and prioritization skills, with the ability to manage multiple competing demands effectively.
You demonstrate a high degree of autonomy, initiative, and a solution-oriented mindset.
You have proven ability to maintain confidentiality and exercise discretion when handling sensitive and complex matters.
You are adaptable and able to perform effectively in a fast-paced, evolving, and highly dynamic environment.
You have strong time management skills and consistently deliver high-quality work within deadlines.
You possess excellent verbal and written communication skills.
You have strong presentation and professional relationship-management skills.
It would be an asset if you have experience supporting senior executives or leadership teams.
It would be an asset if you have experience coordinating executive-level meetings, events, and travel arrangements.
