The is a contract Bilingual Accounting Assistant is primarily responsible for the timely and accurate day to day processing of the Accounting Records and Accounts Payable to ensure an efficient, accurate and updated financials and systems in place, The Accounting Assistant is responsible for performing daily accounting duties and Payroll Related HR functions, including but not limited to with an emphasis in Accounts Receivable, Collections and Accounts Payable, Payroll and Customer Interactions.

Summary of essential job functions:

Maintain customer & vendor account information.
Manage accounts receivable and contact customers regarding payments with proper collections procedures.
Weekly and monthly accounts receivable status report meeting.
Follow up on, research and resolve payment discrepancies with customer.
Collect, allocate and post deposits.
Process credits with proper authorization.
Match vendor invoices with receiving documentation.
Investigate discrepancies with vendor invoices.
Enter vendor invoices into ERP system.
Issue Vendor payments.
Basic inventory concepts and flow
Maintain accounts payable
Assist with monthly account reconciliations.
Assist in meeting financial accounting objectives.
Assist with Ad hoc projects as assigned by the Controller, as well as by supervisors / managers.
Assist and provide reception & customer service support relief.

· Assist in maintain records, filling and general administrative duties as requested and required.

· Ensures timely processing of the hourly and salary payroll via payroll system provider Ceridian in accordance with labor regulation.

· Input data into the timeclock system Dayforce and update the records regularly for changes on the employee profile or other employment functions.

· Accountable for the input of all new hires into the payroll and timekeeper system. Ensure that information is entered in a timely manner.

· Maintain HR files, including all new hire documents and other confidential information

Educational & Experience Requirements:

· College certificate or diploma in Accounting or Business.

· 5 years experience in Accounting or Administrative role.

Abilities required:

· Attention to detail

· Ability to focus on figures for long periods

· Timely and accurate data entry

· Polite customer interactions

· Extensive multi-tasking skill

· Energetic, enthusiastic individual

· Individual who continuously upgrades skillset, embraces change and learns about new best practices in his/her area of responsibility

· Experience in administrative position

· Knowledge of financial and accounting software applications

· Intermediate skills in Excel, Word and Outlook

L’adjoint(e) comptable bilingue (français/anglais) soutient l’équipe des finances en assurant les opérations comptables quotidiennes et en veillant à ce que les dossiers financiers soient exacts et à jour. Ce poste joue un rôle clé dans la gestion des comptes fournisseurs et clients, le soutien aux processus de paie ainsi que le maintien de communications efficaces avec les équipes internes et les partenaires externes.

Ce poste est basé à Québec et nécessite une présence à temps plein au bureau durant les six premiers mois afin de favoriser l’intégration, la formation et la collaboration avec l’équipe. À la suite de cette période d’intégration, une formule de travail hybride pourra être mise en place selon les besoins de l’entreprise et le rendement de l’employé(e).

Principales responsabilités

Comptabilité et soutien financier

Maintenir des dossiers exacts pour les comptes clients et fournisseurs
Superviser les activités des comptes recevables, incluant le suivi des paiements et les relances de recouvrement
Participer aux révisions régulières des comptes en souffrance et fournir des mises à jour sur leur statut
Enquêter et résoudre les écarts de facturation ou de paiement
Enregistrer et attribuer correctement les paiements reçus
Traiter les demandes de crédit conformément aux procédures d’approbation internes

Comptes fournisseurs

Vérifier et concilier les factures fournisseurs avec les bons de commande et les documents de réception
Saisir les factures dans le système comptable/ERP
Préparer et traiter les paiements aux fournisseurs dans les délais requis
Maintenir des dossiers de comptes fournisseurs organisés et à jour
Participer aux conciliations de comptes et aux processus de fin de mois

Soutien à la paie et aux ressources humaines

Soutenir le traitement de la paie des employés salariés et horaires, tout en assurant la conformité aux réglementations applicables
Maintenir et mettre à jour les dossiers des employés dans le système Dayforce (gestion du temps et paie)
Saisir avec exactitude les informations des nouveaux employés dans les systèmes de paie
Gérer et maintenir la confidentialité des documents RH, incluant les dossiers d’intégration des employés

Service à la clientèle et administration

Fournir un soutien à la réception et au service à la clientèle au besoin
Répondre aux demandes des clients et fournisseurs de façon professionnelle et rapide
Maintenir des systèmes de classement organisés et participer aux tâches administratives générales
Contribuer aux projets spéciaux et aux demandes de rapports au besoin

Qualifications

Formation postsecondaire en comptabilité, administration des affaires ou dans un domaine connexe
Minimum de 5 ans d’expérience dans un rôle de soutien comptable ou administratif
Une expérience dans le secteur manufacturier est considérée comme un atout

Compétences et aptitudes

Grand souci du détail et haut niveau de précision
Excellente aptitude numérique et aisance avec les données financières
Excellentes compétences organisationnelles et capacité de gérer les priorités
Bonnes habiletés de communication avec une approche orientée vers le service à la clientèle
Maîtrise de la suite Microsoft Office (Excel, Word, Outlook)
Expérience avec un système ERP ou un logiciel comptable, un atout
Capacité à gérer plusieurs priorités dans un environnement dynamique et rapide
Attitude positive, adaptable et volonté d’apprendre
Bilinguisme complet en français et en anglais, à l’oral comme à l’écrit
