The Opportunity:
Work alongside the Transportation Manager to ensure all scheduled deliveries for the next day are routed optimally inside of TMS system. Review vehicles and ensure that maintenance is up to date. Responsible to oversee/facilitate the reliable transportation medication and medical supplies in a safe and timely manner from the facility to medical clinics and to clients across Ontario and providing “white glove” service at each delivery location.
A Day in the Life (What you will do here):
- Review delivery orders in the TMS and assign them to efficient routes based on service windows, geography, capacity, and priority.
- Coordinate next-day delivery schedules and optimize route sequencing to improve on-time performance and operational efficiency.
- Monitor active routes and delivery progress, identify delays or service risks, and make timely routing adjustments.
- Serve as the primary contact for delivery exceptions and coordinate with pharmacy, warehouse, clients, and transportation teams to resolve issues.
- Work directly with third-party carriers to investigate and resolve delivery issues, including delays, missed or incomplete deliveries, damaged shipments, proof-of-delivery discrepancies, and re-delivery requirements, while ensuring timely communication and documented resolution.
- Maintain accurate shipment, route, stop, and delivery-status information in the tms and related tracking systems.
- Validate order readiness, delivery requirements, addresses, contact details, and special instructions before routes are finalized.
- Communicate route plans, schedule changes, delivery priorities, and special handling requirements to drivers and internal stakeholders.
- Coordinate the movement of medications, medical supplies, totes, coolers, and related materials between pharmacy, warehouse, and delivery operations.
- Track delivery completion, investigate missed or incomplete stops, and coordinate recovery plans or re-deliveries as required.
- Prepare and maintain daily routing, delivery exception, on-time performance, and service-quality reports.
- Support warehouse and pharmacy operations by coordinating order readiness, staging priorities, dispatch timing, and shipment documentation.
- Promote accurate order handling, timely communication, regulatory compliance, and excellent service standards throughout logistics operations.
- Compile and distribute daily, weekly, and monthly logistics reports and kpi dashboards for management, highlighting trends, service risks, and improvement opportunities.
- Track and report on-time delivery rate, first-attempt delivery success, missed or incomplete stops, and delivery exception volume.
- Monitor route efficiency metrics, including planned versus actual route adherence, reroute frequency, stops per route, delivery time, distance travelled, and capacity utilization.
- Track order and delivery accuracy, average cost per delivery, and re-delivery frequency to support service quality and cost-control objectives.
- Validate tms data accuracy, investigate material kpi variances, document root causes, and coordinate corrective actions with transportation, warehouse, pharmacy, and customer service teams.
What you need to ensure you are set up for success:
- Post-secondary diploma or certificate in logistics, supply chain management, transportation, business administration, or a related field is preferred; an equivalent combination of education and experience will be considered.
- Minimum 2 years of experience in transportation coordination, dispatch, routing, logistics, distribution, or a similar operational role.
- Experience using a transportation management system (TMS), route-planning software, GPS tracking tools, or comparable logistics technology.
- Strong knowledge of route planning, dispatch coordination, delivery scheduling, capacity management, and service-window requirements.
- Proficiency with Microsoft Office, particularly Excel, Outlook, and Teams; experience preparing operational reports and KPI summaries is an asset.
- Strong analytical and problem-solving skills, with the ability to monitor delivery performance, identify risks, investigate variances, and coordinate timely corrective action.
- Excellent written and verbal communication skills, with the ability to coordinate effectively with drivers, pharmacy, warehouse, clients, and internal stakeholders.
- Highly organized and detail-oriented, with the ability to manage competing priorities and respond calmly to time-sensitive delivery exceptions.
- Knowledge of applicable transportation, occupational health and safety, privacy, and chain-of-custody requirements is an asset.
- Experience in healthcare, pharmacy, medical distribution, temperature-sensitive shipments, or other regulated delivery environments is a strong asset.
- Demonstrated commitment to service excellence, accuracy, confidentiality, regulatory compliance, and safe transportation practices.
- Must be bondable and able to successfully complete a criminal background check.

- The anticipated hourly rate hiring range for this role is $24 to $26 annually/hourly. The final hourly rate will be determined based on relevant experience, skills, and internal equity.
