Original job description

Reporting to the Associate Dean, Media and Performance, the Program Support Specialist (PSS) is responsible for providing administrative and program delivery support to the Faculty of Animation, Arts and Design (FAAD).

The incumbent is the front-line point of contact for program-related inquiries, and supports the programs, administrative and organizational needs of the Faculty team (e.g. Associate Dean, administrators, faculty, coordinators, staff) and students. The incumbent also works closely with agencies, internal/external stakeholders and organizations to provide information linkages.

What You Will Be Doing

Compiling program-related documents and preparing necessary reports/correspondence, including Program Reviews, mandated consent renewals for degree programs, and external accrediting organizations;
Maintaining appropriate student information related to exceptional program status such as probation, incomplete status, or other unique academic arrangements and provide details to students/faculty/coordinators/administration/Office of the Registrar where necessary;
Responding to internal and external inquiries about program content, program development, curriculum and administrative policies and procedures;
Developing reports and databases to track information;
Investigating and resolving complex problems and concerns related to assigned programs;
Compiling and verifying documents for new and revised curriculum changes, updating databases, maintaining records of submissions to academic committees, following up on missing information or changes;
Tracking online portfolio submissions, portfolio fee payments and other specialized documents that are submitted for consideration;
Developing reports, forms and processes for special admissions requirements, organizing admissions events where required;
Maintaining ongoing communication with partner universities for joint programs;
Scheduling and organizing meetings for the Program Advisory Committees, including contacting members and monitoring responses;
Coordinating the administrative logistics for program-specific activities and events, including Auditions, Awards Nights and other student- and enrolment-related events, in collaboration with coordinators, faculty and the APA;
Performing other related duties as required.

You are an analytical thinker and have a knack for?thinking critically?about how processes flow and how to build systems.

The Successful Candidate Will Also Meet The Following Qualifications

A minimum of a 3-year diploma/degree in Business Administration or Office Administration or a related field;
A minimum of 3 years of experience with word processing, spreadsheets, database management, internet research, and office administration (equivalencies to be considered);
Proven ability to work in a fast-paced environment and deal with aggressive timelines and the associated pressure
Advanced customer service, organizational and communication skills are required.
