Company Description Shutters Canada is a window coverings company specializing in curtains, shutters, blinds, and shades for residential and commercial spaces. Role Description The Administrative Assistant Coordinator is a full-time, on-site role based in London, ON. This position supports daily office operations, including managing calendars, scheduling appointments, organizing files, and maintaining accurate records. The role handles incoming calls and emails, assists customers with inquiries and bookings, and coordinates communication between sales, installation, and customer service teams. The Administrative Assistant Coordinator may assist with basic finance-related tasks such as invoicing, payment tracking, and data entry. This role also contributes to smooth workflow in the showroom and office by preparing documents, updating databases, and supporting management with administrative projects.

Qualifications

Candidates should possess strong Communication and Customer Service skills to interact effectively with clients, vendors, and team members.
Candidates should possess solid Administrative Assistance and Organization skills to manage schedules, records, and office procedures efficiently.
Candidates should possess basic Finance skills to support invoicing, payment processing, and accurate data entry.
Relevant experience in an administrative or coordination role, preferably in retail, home improvement, or a customer-facing environment.
Proficiency with office software (e.g., word processing, spreadsheets, email, scheduling tools) and comfort learning new systems.
Strong attention to detail, ability to prioritize tasks, and follow-through on commitments.
High school diploma required; post-secondary education in business administration or a related field is an asset.
Ability to work on-site in London, ON, with a professional, inclusive, and team-oriented approach.

Customer Service Skills: Ability to interact effectively and professionally with clients, vendors, suppliers and team members, providing excellent customer service and timely follow-ups.

Administrative Assistance & Organization: Strong administrative and organizational skills to manage schedules, customer appointments, records, correspondence and office procedures efficiently.

QuickBooks Knowledge: Basic to intermediate knowledge of QuickBooks Online, including invoicing, recording payments, entering expenses, tracking accounts receivable and maintaining accurate financial records.

Basic Finance & Bookkeeping: Ability to support invoicing, payment processing, expense tracking, data entry and basic financial reporting with accuracy and attention to detail.

Inventory Management: Experience monitoring inventory levels, tracking stock, maintaining inventory records, coordinating material requirements and identifying items that need replenishment.

Supplier Coordination: Ability to communicate and maintain professional relationships with suppliers, request quotations, follow up on orders, coordinate deliveries and resolve supply-related issues.

Purchasing & Procurement: Experience assisting with purchasing activities, preparing purchase orders, comparing supplier quotations, tracking purchases and ensuring materials are ordered and delivered on time.

Production Coordination: Ability to coordinate with production staff, monitor order progress, manage schedules and ensure materials are available to meet production deadlines.

Marketing & Social Media: Basic knowledge of social media platforms, content creation, promotional activities and customer lead follow-up. Marketing experience is an asset.

Relevant Experience: Previous experience in an administrative, office assistant or coordination role, preferably in retail, home improvement, manufacturing or another customer-facing environment.

Computer & Software Skills: Proficiency with office software, including word processing, spreadsheets, email and scheduling tools, and comfort learning new business management systems.

Communication Skills: Excellent written and verbal communication skills, with the ability to coordinate effectively between customers, suppliers, management and internal teams.

Multitasking & Time Management: Ability to manage multiple responsibilities, prioritize tasks, meet deadlines and work efficiently in a fast-paced environment.

Problem-Solving & Attention to Detail: Strong attention to detail, initiative and the ability to identify and resolve day-to-day administrative and operational issues.

Teamwork & Reliability: Ability to work independently and collaboratively, take ownership of assigned responsibilities and maintain a professional, dependable approach.
