Turn thoughtful coordination into better experiences for seniors navigating ethno-specific, community-based mental health care. As a Program Support Coordinator, Seniors' Wellness Centre, you’ll champion a unique patient care model defined by cultural insight, trust, and respect while also building your capacity in planning, coordinating, and managing events and programs. As the first point of contact for clients, families, and community partners, you set the tone for a welcoming and supportive experience. Your efforts will enable our interdisciplinary team to deliver high-quality care and drive program innovation knowing that essential clinical operations are managed effectively. Working within a hospital-affiliated clinic gives you the support of established systems, resources, and interdisciplinary expertise to strengthen your professional development. You’ll strengthen a service where seniors and families experience care that blends hospital-quality standards with culturally grounded approaches.

Whether you’re routing calls and voicemails, updating charts, or recording admissions and discharges, your organization keeps daily clinic flow consistent.

A strong understanding of how mental illness can present in older adults helps you respond with empathy and thoughtful decision making. This helps you distinguish routine variability from concerns that warrants escalating to the clinical team. Cultural sensitivity is more than a value to you, it’s a practical skill that guides how you support seniors and families seeking mental health care. You adapt your approach to respect different perspectives on illness, caregiving, and privacy, especially when conversations involve symptoms, stigma, or family dynamics.

Bringing order to multi-step activities is something you handle with calm and care. Whether you’re updating attendance records, preparing program materials, or confirming details with volunteers before a session begins, you focus on making each step clear and organized. In this position, those habits translate into reliable, well-run programming where you can see the results of your work in how smoothly each session unfolds.

About this team:
Our Seniors’ Wellness Centre supports older adults (65+) who may benefit from culturally appropriate mental health services in Chinese. Our services are provided in Cantonese, Mandarin and English, and are guided by an innovative model of care that emphasizes wellness and early identification of mental illness for ethno-cultural older adults. Our inter-professional team (including psychiatry, nursing, and social work) provides timely access to culturally sensitive and linguistically appropriate support services for older adults, and their families/care partners. These services include assessments, treatments, supportive counselling, psychotherapy, psychoeducation, health promotion, and wellness programs. We also offer mental health and wellness seminars and workshops to the general public. An ambulatory service, we serve over 400 patients annually while also training interprofessional practitioners seeking to develop their competencies within this specialized area of care.

In this role you will:

Support program planning, scheduling, and promotion (flyers, media, and partner agencies)
Coordinate program logistics, including participant registration, class reminders, remote access links, attendance lists, materials preparation, classroom setup and deliver introductions
Track and report program outcomes including attendance, participant evaluations, summaries, and other statistics
Oversee day-to-day office administration, including managing phone calls and emails, coordinating room bookings, document management, taking meeting minutes and processing weekly timesheets
Provide clinical support by completing inquiry and telephone screening forms, validating health cards, greeting and settling patients, checking identification, and sending replies to referrers
Maintain a safe, organized, and well-functioning workspace by maintaining office cleanliness and supplies, troubleshooting and arranging maintenance for office equipment and systems, and supporting basic alarm and panic button communications
Record admissions and discharges to provide a source of information for statistical reports
Provide finance and accounting support by processing Pro-Card reports and statements, petty cash claims, cheques, receipts, finance and expense requisitions,
Prepare letters to request medical records and client authorizations and maintain log of requests and records received
Coordinate volunteers including recruiting, training and supporting their development
Assist Program Manager to prepare statistics, and annual reports
Perform other duties consistent with the job classification as required

Job Requirements:

Mandatory

Successful completion of a Business Administration/Secretarial Diploma or Bachelor’s degree in human services or social service equivalent combination of education and experience
Fluent in English, Cantonese and Mandarin, both oral and written communication

Preferred

Previous experience working in a hospital/health care/social services environment

Skills and Knowledge

Proficiency with Microsoft (Word, Excel, PowerPoint, and Outlook) and familiar with electronic record and virtual meetings
Ability to work independently, make decisions, exercise good judgement, and problem solve
Excellent interpersonal skills, ability to work with staff and clients, and in a collaborative team environment
Demonstrated ability to empathize with patients/clients
Demonstrated satisfactory work performance and attendance record
