The Opportunity

We are seeking a full-time Document Controller to support a major project pursuit over a six-month period. This role will be responsible for managing, tracking, and maintaining all project documentation and correspondence among the project team, client representatives, consultants, and external stakeholders.

Key Responsibilities

Maintain document control processes, including filing, tracking, version control, distribution, and archiving of project documents.
Manage and monitor incoming and outgoing correspondence, ensuring timely distribution and accurate records.
Maintain document registers, transmittals, meeting records, RFIs, submissions, and other project-related documentation.
Ensure all team members are working from the latest approved documents and templates.
Support proposal, technical, and commercial teams by organizing and maintaining project information.
Produce regular document status reports and assist with compliance to project document management requirements.
Facilitate efficient communication and information flow among project stakeholders.

Qualifications & Experience

Diploma or degree in Business Administration, Information Management, Engineering, Architecture, Construction Management, or a related field is preferred but not required.
3+ years of document control, project coordination, or administrative experience in architecture, engineering, construction, infrastructure, or professional services environments.
Proficiency with Microsoft Office (Word, Excel, Outlook, Teams, SharePoint).
Experience with document management platforms such as Aconex, Autodesk Construction Cloud (ACC/BIM 360), Procore, InEight, ProjectWise, or similar systems is an asset but not mandatory.
Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
Excellent written and verbal communication skills.
