SMS Equipment is seeking a Fleet Maintenance Administrator. This role plays a key role in supporting the organization’s Operations fleet by ensuring accurate reporting, compliance monitoring, and data-driven insights. This role is responsible for auditing, analyzing, and maintaining fleet-related data, coordinating compliance reviews with branch operations, and supporting continuous improvement across fleet maintenance programs.
Work Location: Acheson, AB
Salary: $54,000 - $57,000 annually.
Work Arrangement: Hybrid – providing the flexibility to work remotely up to 2 days per week.
Schedule: Monday to Friday.
What You'll Do
- Audit, analyze, and report on fleet maintenance performance and compliance data on a daily, weekly, and monthly basis, using Power BI, Excel, and third-party fleet systems
- Following the above, coordinate and facilitate monthly fleet review meetings with branch Operations teams
- During the above monthly meeting, report on compliance related to:
- Trip inspection reporting
- Commercial Vehicle Inspection Program (CVIP) scheduling and records
- Crane inspection records
- Preventative maintenance (PM) programs
- Service truck maintenance performance
- Tire changeovers (seasonal)
- Wheel stud compliance
- Work orders and fleet card usage
- Following the monthly meeting, track, document, and escalate non-compliance trends to support corrective action
- Support GPS and telematics issue resolution in collaboration with Operations and vendors
- Maintain accurate fleet inspection and maintenance records
- Provide backup coverage for Corporate Reception as required.
- Other duties as required.
What You Bring
The ideal candidate will have a high school diploma and/or secondary education in Administration, Business Analysis or a related field.
Additional requirements include:
- 2–3 years of relevant administrative or analytical experience
- General knowledge of commercial fleet programs and maintenance processes
- Strong proficiency in Microsoft Excel (intermediate or higher), as well as Outlook, Teams
- Working knowledge of Power BI, SharePoint, PowerPoint, Word, Visio is an asset
- Excellent attention to detail and strong analytical skills
- Ability to manage multiple priorities and work independently in a busy environment
- Strong interpersonal and customer service skills, with the confidence to lead meetings with diverse stakeholder groups
- Proactive, self-motivated, and comfortable taking initiative.
