Original job description

Enterprise AI is moving from pilots to production, and the constraint is no longer the model - it's the data. Agents are only as good as what they can sense, trust, and act on in the moment, and real-time, event-driven data is becoming the foundation every serious AI system runs on.

Solace is the leading real-time data platform for the enterprise AI era. Established enterprises worldwide - including RBC Capital Markets, Bosch, Heineken, PSA Singapore, United Airlines, Schwarz Group, and hundreds more - have built their business around Solace to enable intelligent, real-time experiences, modernize their application and integration landscape, and create seamless digital journeys for their customers, partners, and employees.

So, the next time you drive a car, order furniture online, fly in a plane, check your bank balance on your phone, your positive experience could be a direct result of our technology - and your hard work!

About the Role

We are looking for a Contracts Administrator to join Solace's growing Legal team and keep our sales, customer, vendor and partner contracting moving. You will run contracts from intake through signature and renewal, maintain our records, and help make our contracting process faster and more consistent.

This is a hands-on role for someone who is organized, careful with detail and comfortable working with business teams. As a member of the Legal team, you will work closely with our Deal Desk and other internal stakeholders.

What You’ll Do

Contract Administration

Manage the contract request queue. Log, triage and route requests from Sales, Finance, Marketing and other teams.

Prepare agreements from approved templates, including NDAs, order forms, statements of work and amendments.

Review incoming contracts, identify deviations from our standard terms and route them to the appropriate Legal team member.

Coordinate approvals and signatures, and file executed documents.

Lead an initial clean-up and audit of our contract files and repository so agreements are accurately organized and easy to locate.

Maintain accurate, complete contract records in our repository.

Contract Operations

Administer our contract lifecycle management tools and help improve how we use them.

Support contracting playbooks, guidance and approval workflows.

Report on contract volume, turnaround times and upcoming renewals.

Find routine tasks that can be streamlined or automated.

Business Partnership

Act as the first point of contact for general Legal team questions from business teams, answering questions about our contracting process and directing other questions to the appropriate Legal team member.

Support the Legal team on special projects as they arise and the business evolves.

What You’ll Bring to the Role

2+ years of experience in contracts administration, legal operations or a related role, ideally in technology, SaaS or another fast-paced environment.

Familiarity with common commercial documents such as NDAs, order forms, statements of work and master agreements.

Strong attention to detail and organizational skills.

Ability to manage a high volume of contracts at once and keep them moving.

Clear written and verbal communication skills.

Good judgment about what to handle independently and what to escalate.

Comfortable working with colleagues who do not have a legal background.

Nice to have Skills

Experience with a contract lifecycle management tool, contract repository, e-signature platform or AI-enabled contracting tool.

A degree or diploma in legal studies, business or a related field, or paralegal or legal assistant training.

What Success Looks Like

You handle a high volume of routine contracts accurately and on time.

Requests move through the queue without avoidable delay.

You spot issues early and escalate them clearly.

Any contract and its key terms can be found quickly.

The initial clean-up and audit of our contract files is completed, leaving the repository accurate and well organized.

The business finds our contracting process easy to use.

Role Status: NEW

Expected Salary Range: Expected salary range for this role is from $65-75,000. The final offer within this range will reflect the successful candidate’s skills and experience.

At Solace, we are committed to a fair, inclusive, and transparent recruitment process. To help identify candidates whose qualifications best align with the role, we use artificial intelligence (AI) tools during the initial stage of resume screening. These tools compare submitted resumes to the job description, focusing on education, experience, and skills.

Importantly, all decisions beyond this initial screening - including interviews and final hiring - are made by our human recruitment team. AI is never used to make final hiring decisions.

Let’s Talk

Not sure you meet every requirement? That’s okay - we’re more interested in your potential and passion. If this role excites you, we’d love to hear from you.

Need accommodations during the hiring process? Just let us know - we’re here to support you.

Thanks to everyone who applies! While we wish we could connect with every candidate, only those selected to move forward will be contacted.

At Solace, we believe that diversity and inclusion drive innovation and growth, both in business and in life. We strive to create an enriching and safe workplace where you can be who you are. If you want to do the best work of your career and feel supported every step of the way, we encourage you to join us!
