Office Assistant

85 River Street, Parry Sound, ON | $21–$23 per hour | Part-time, on-site

Come work with our team

Soundseals Insulation is looking for a friendly, organized, and dependable Office Assistant to join our team and help keep our busy office running smoothly. As an important part of our day-to-day operations, you'll be working closely with our Office Manager, communicating with customers, contractors, and crew members, and helping with a variety of administrative tasks.

Our office is a busy, fast-paced environment where no two days are quite the same. Between ringing phones, changing schedules, customer inquiries, and daily office responsibilities, there's always something happening! We're looking for someone who enjoys staying busy, can manage multiple tasks, and is comfortable adapting when priorities change.

The ideal candidate is approachable, detail-oriented, and eager to learn. Someone who can stay organized under pressure, communicate well with others, and bring a positive attitude to the team, even on our busiest days. Above all, we're looking for someone who takes pride in their work, enjoys helping others, and is ready to become a valued part of the Soundseals team.

What you’ll be doing

Answering and directing phone calls, responding to emails, and helping customers with general questions and requests.

Welcoming walk-in customers and creating a friendly, professional first impression.

Supporting the Office Manager with daily administrative work, follow-ups, scheduling and general office coordination.

Assisting with payroll preparation by reviewing timesheets, balancing employee hours and flagging discrepancies for review.

Helping process customer payments, and invoices.

Keeping digital files, paperwork and customer information organized and up to date.

Communicating with office staff, field crews and customers to help information move smoothly between everyone.

Jumping in on other office tasks as priorities change throughout the day.

Who we’re hoping to find

A friendly, dependable person who enjoys working with people and communicating clearly.

Someone who can manage multiple tasks, pay attention to details and stay organized during busy periods.

A confident computer user who is comfortable learning new software and working with digital files.

Someone who uses good judgment, respects confidential information and knows when to ask for help.

A team player who takes initiative, follows through and can also work independently when needed.

Previous office or administrative experience is an asset; experience with QuickBooks is especially helpful.

Familiarity with Gmail, Google Drive, BrightHR or similar systems is a plus.

Construction or insulation industry knowledge is welcome, but not required - we’re happy to help the right person learn.

Hours & availability

The regular schedule is Monday to Friday, 9:00 AM to 2:30 PM (27.5 hours per week). Occasionally, when the Office Manager is away, coverage is needed from 6:30 AM to 2:30 PM. This is an in-person role at 85 River Street in Parry Sound, so being able to get to the office consistently and work the occasional extended day is important. We understand that life happens and appreciate open communication when circumstances change.

Why join Soundseals?

You’ll be joining a local team where your work plays an important role in keeping our day-to-day operations running smoothly. This position offers a consistent weekday schedule, a variety of responsibilities, and the opportunity to grow your skills and take on more responsibility over time.

We’re also looking toward the future! Our long-term goal is for the right person to eventually transition into a full-time position and take over the Office Manager role within the next few years. We’re hoping to find someone who is interested in growing with our company, learning the ins and outs of our operations, and building a long-term career with Soundseals.

Above all, we value someone who is friendly, dependable, eager to learn, and excited to become part of our team.

Interested in applying?

Please send your résumé and cover letter by October 23, 2026. In your cover letter, tell us a little about yourself, your relevant experience and whether you’re available for the regular schedule and occasional early-start coverage.

Please email your résumé and cover letter to soundseals@gmail.com, or feel free to stop by our office at 85 River Street, Parry Sound, to drop off your application in person.

Application Deadline: October 23, 2026
