Position: Foundry Development Administrative Coordinator

Location: 15452 Russell Ave with some work from home

Hours: Average 15 hours/week

Salary: $28/hour

Start Date: ASAP

End Date: December, 2027

We are looking for a Foundry Development Administration Assistant to join our Foundry South Surrey/White Rock Centre Development team! Ideally, this individual is a collaborative and adaptable team player, with strong communication and relationship-building skills, and experience working with youth and families from diverse backgrounds. They have a demonstrated understanding of cultural safety, equity, and inclusion, are comfortable facilitating groups, and are well-organized with proficiency in basic computer applications (Word, Excel, Outlook, Teams, PowerPoint).

Description Of Position

Reporting to: Director of Foundry Development

General Responsibilities

Provide day-to-day administrative and project coordination support, including maintaining calendars, meeting schedules, action lists, contact lists, planning documents, and project records.
Coordinate meetings, consultations, working groups, and other project activities involving internal teams and external partners.
Prepare and distribute agendas, meeting materials, presentations, briefing materials, minutes, and action summaries.
Track action items, commitments, deadlines, decisions, and follow-up requirements and support timely completion.
Maintain organized electronic files, records, trackers, databases, and other project documentation.
Draft and format routine correspondence, invitations, updates, presentations, and other communications.
Maintain accurate and current contact information for partners, advisors, funders, donors, and other interest holders.
Coordinate meeting and event logistics, including invitations, RSVPs, venues, virtual meeting arrangements, catering, supplies, and participant communications.
Gather, organize, and maintain information required to support project planning, reporting, funding applications, presentations, and decision-making.
Support preparation of updates and materials for leadership and other internal and external audiences.
Help ensure decisions, commitments, and relevant information are documented and communicated to appropriate individuals and groups.
Ensure project documents, records, and communications are professional, accurate, current, and easily accessible.
Provide administrative and coordination support for special projects and other related activities as required.

Program-specific Responsibilities

Foundry Development and Coordination

Support coordination of the overall development of Foundry South Surrey/White Rock across service planning, integration, partnerships, community engagement, fund development, and site development.
Maintain Foundry-specific workplans, implementation trackers, planning records, milestones, and key project documentation.
Support coordination between the different workstreams involved in developing and preparing the centre for opening.
Support site development and planning activities, including consultations with partners and interest holders regarding the future Foundry space.

Youth and Family/Caregiver Advisory Committees

Coordinate meetings and activities of the Foundry South Surrey/White Rock Youth Advisory Committee and Family/Caregiver Advisory Committee.
Support advisor recruitment, onboarding, participation, and ongoing engagement.
Coordinate honoraria, reimbursements, attendance records, forms, and other administrative requirements associated with advisor participation.
Create welcoming, accessible, and well-organized opportunities for youth and family/caregiver advisors to contribute to Foundry development.
Document advisor feedback and recommendations and ensure they are brought forward into relevant service, operational, engagement, and site-planning processes.
Support youth and family/caregiver consultations, workshops, journey-mapping activities, and other engagement opportunities.

Service Planning and Integration

Coordinate Foundry service planning and integration activities, including meetings with prospective and confirmed service partners.
Support the Community Leadership Table, Primary Care Working Group, Integration Working Group, and other Foundry planning tables and working groups as required.
Maintain information regarding service partners, proposed services, commitments, agreements, referral pathways, operational requirements, and outstanding decisions.
Support development and maintenance of service-planning documents, partnership and agreement trackers, implementation tools, and related materials.
Gather and organize information about community needs, existing services, referral pathways, service gaps, and opportunities for integration.
Support planning for how Foundry services and community partners will work together within an integrated youth service model.

Partnership and Community Engagement

Support engagement with community organizations, health and social service providers, schools, municipalities, Indigenous partners, funders, and other community interest holders.
Track partnership discussions, commitments, opportunities, agreements, and required follow-up.
Coordinate partner consultations, presentations, service-planning discussions, and site-planning activities.
Prepare background materials, correspondence, meeting invitations, and other information required to support partner engagement.
Help maintain strong communication with partners throughout the development of the centre.

Fund Development

Provide coordination support for fundraising, grants, sponsorships, donor engagement, and other community investment activities related to Foundry South Surrey/White Rock.
Maintain funder, donor, prospect, grant, and sponsorship information and trackers.
Support preparation of grant applications, funding proposals, sponsorship materials, presentations, and supporting documentation.
Track funding opportunities, deadlines, submissions, reporting requirements, commitments, and follow-up activities.
Gather statistics, budgets, quotes, letters of support, project information, and other materials required for funding applications and donor engagement.
Coordinate meetings, presentations, cheque presentations, and communications related to funding and community investment.

Foundry Events, Consultations and Opening Readiness

Support Foundry consultations, community engagement sessions, presentations, advisory activities, partner meetings, and events.
Coordinate logistics and participant communications for Foundry-specific events and engagement activities.
Support special projects and implementation activities associated with development, renovation, operational readiness, and the eventual opening of Foundry South Surrey/White Rock.
Provide additional project coordination support as priorities evolve through the development and implementation phases of the centre.

Qualifications

Secondary School Diploma or equivalent; post-secondary diploma in a related field (e.g., Social Services, Child and Youth Care) is an asset.
Minimum one year of experience (paid or volunteer) working with youth and families in a related setting is preferred.
Lived or living experience with mental health or substance use, or as a caregiver, with readiness to engage young people who have lived or living experience with mental health or substance use.
