About The Foundation

St. Joe’s has provided care for millions of people in Toronto’s west end for more than a century. Today it is one Canada’s busiest community teaching hospitals, looking after a vibrant community of over half a million.

The Foundation has grown in recent years to be a leading community hospital foundation with a strong and engaged board of directors. We are looking for a new team member to help with gift management and donor engagement that helps to deliver the best care possible for our community.

Position Summary

The Gift Processing Team plays a pivotal role in supporting our mission to raise funds for the hospital. We oversee all gift processing operations, including gift entry, tax receipting, record maintenance, and audit preparation. By maintaining accuracy in our practices, we build trust with our donors and stakeholders, ensuring that every contribution is maximized to support our community’s health and well-being.

The Gift Processing Coordinator provides administrative and clerical support, with a particular emphasis on data integrity. The Gift Processing Coordinator ensures accurate records, timely reporting, and compliance with CRA requirements. This role requires strong organizational skills, strong focus on accuracy, and the ability to collaborate effectively with members of the Foundation team, our partners and community.

Responsibilities & Activities

Data Entry and Record Keeping:
Utilize Raiser’s Edge, and Outlook to manage gift processing and communication tasks effectively.
Upload gifts in batches into Raiser’s Edge.
Verify and update donor information in Raiser’s Edge, ensuring accuracy and completeness of records.
Ensure confidentiality and security of financial information.
Donor Communication:
Print and send thank you letters, credit card update letters, and charitable tax receipts to donors.
Cash Handling & Reconciliation:
Conduct daily cash counts, reconcile with Finance, and prepare deposit slips for banking transactions on a daily basis.
Document Management:
File, scan, and archive donation and gift documents. Manage issues related to tax receipt replacement.
Accurately track and log donations received through various channels including mail, phone, walk-ins, online platforms, and email.
Communication and Coordination:
Provide support to other departments including Finance, Annual Giving, Planned Giving, and Major Gifts as needed.
Administrative Support:
Provide general administrative support to the Gift Processing department.
Assist in special projects and initiatives.

Knowledge & Skills

1-2 years of experience in gift processing, administrative support, or related role, preferably in a nonprofit or healthcare setting
Associate degree in Business Administration, or related field (Bachelor’s degree preferred)
Proficiency in Raiser’s Edge or similar CRM/Database software
Proficiency in Trellis and AKA raisin fundraising tools is an asset
Strong organizational and time-management skills
Excellent attention to detail and accuracy
