Service Coordinator

Industrial Services · Service & Maintenance

Location: Bolton, ON | Schedule: In-office, Monday to Friday (Full-Time)

POSITION OVERVIEW

Based out of our Bolton office, the Service Coordinator is the central point of contact between our clients and our field service team, owning the day-to-day coordination of crane maintenance and repair work. Working alongside the Inside Sales Representative and supporting our technicians from the office, this role turns client needs into scheduled, well-resourced site visits: dispatching the right technician to each job, coordinating the parts and materials they need on site, and scheduling them in to see clients. You bring a working technical understanding of crane systems and maintenance, so you can scope each job accurately and keep both clients and technicians informed from the first call through to completion.

KEY RESPONSIBILITIES

Client Point of Contact

Serve as the primary contact for clients on all service and maintenance requests
Understand each client's issue, equipment, and site conditions to accurately scope the work required
Keep clients updated on scheduling, technician arrival, job progress, and any follow-up needs
Build lasting relationships that turn one-time service calls into ongoing accounts

Scheduling & Dispatch

Plan and schedule technician site visits, typically a few weeks in advance, balancing client priority against technician availability
Dispatch the right technician to each client site based on the scope of work, technical complexity, and individual experience
Communicate schedules, work orders, and site details clearly to technicians before they head out
Adjust plans quickly when urgent breakdowns or changes in scope come up

Technical Coordination & Office Support

Apply a working knowledge of crane systems and preventative maintenance to assess incoming requests and scope each job
Coordinate the parts, tools, and materials each technician needs on site, working with the Inside Sales Representative and procurement
Support technicians from the office throughout the job, answering questions and resolving hold-ups so work stays on track
Review completed service reports and organize any follow-up work or quotes

QUALIFICATIONS & EXPERIENCE

Experience in service coordination, dispatch, or scheduling, preferably in an industrial, mechanical, or equipment-service setting
Working technical understanding of cranes, hoists, or comparable industrial equipment and their maintenance
Proficiency in Microsoft Office Suite; experience with SAP or a similar ERP system is an asset
Excellent communication skills in English, both verbal and written
Strong organizational skills with the ability to manage multiple schedules and priorities at once
