What you’ll do:
- Serve as the primary administrative contact for day-to-day office needs
- Coordinate travel arrangements and expense reporting
- Manage incoming requests and help prioritize competing demands
- Coordinate office supplies, equipment, furniture and shared resources
- Coordinate meeting rooms, catering and room setups
- Liaise with Facilities, IT, Security, HR, Finance and external vendors
Coordinate office maintenance, repairs and service requests
Coordinate employee communications related to business unit activities
- Assist in planning town halls, team events, and leadership meetings
- Assist in coordinating employee events, celebrations and engagement activities
Welcome and coordinate visitors, customers and executives
Maintain confidential information and records
What you’ll need:
- 5+ years of experience in an administrative support role, preferably for senior leadership
- Experience coordinating office operations, workplace services, events, meetings or administrative projects.
- Strong organizational and time management skills
- Communicates professionally and effectively with executives, employees, customers, vendors and other stakeholders.
- Anticipates needs, identifies issues and takes appropriate action with minimal supervision.
- Builds positive working relationships across departments and provides responsive, customer-focused service.
- Adjusts effectively to changing priorities and operates comfortably in a fast-paced environment.
- Proficient in Microsoft Office and video conferencing tools
- Ensures accuracy in scheduling, correspondence, presentations, records, purchasing and administrative processes.
- High level of discretion and ability to handle sensitive information
- Takes responsibility for assigned activities, follows through on commitments and ensures requests are resolved or appropriately escalated.
- Maintains a polished, approachable and service-oriented presence when representing senior leadership and the organization.
- Ability to learn and navigate enterprise systems, office technologies and internal administrative processes.
- Experience working in a large, complex or multi-department organization is preferred.
