Your Key Responsibilities
Document Control
Collaborate with Technical Service Area Managers and Leadership on coordination of technical documentation:
- Support development of ongoing technical working documents;
- Review and format documents to branding standard;
- Review locally saved documents for consolidation and migration to SharePoint or other specified locations;
- Manage filing structures, file versioning, and archive documents in the local servers as required.
SharePoint Management
Develop and maintain Technical SharePoint sites:
- Organize site architecture, content manage site pages, and modify user permissions as needed;
- Create discipline-wide announcements;
- Maintain technical document libraries, naming conventions, metadata, and file mapping SharePoint documents with local server documents;
- Facilitate monthly virtual SharePoint orientations.
Industry Outreach and Marketing
Work with Technical Subject Matter Experts and Leadership on industry outreach:
- Maintain a list of key industry-facing and client-facing conference venues for business planning;
- Support Leadership with Marketing and Business Development fiscal year budget planning
- Collaborate with Buildings Marketing Lead and Leadership on National level conference approvals
- Track progress and submittal of abstracts, whitepapers, and technical presentations;
- Retrieve conference proceedings for posting to SharePoint.
Training Development and Delivery
Partner with Technical Service Area Managers, Subject Matter Experts, Leadership, and Learning & Organizational Development team on training development and technical staff training:
- Extract and download bi-weekly New Hire reports;
- Assign technical onboarding training programs and additional training modules to new hires and existing staff;
- Collect technical topics and presenter roster for bi-monthly internal webinar;
- Schedule, facilitate, and take attendances for bi-monthly technical webinars targeting multi-disciplines;
- Follow up and request vetting of presentations prior to delivery;
- Record and video edit technical webinars;
- Work with Technical Development team on redevelopment or content update of existing technical presentations and recordings;
- Partner with L&OD team to coordinate curriculum design, training delivery, and attendance records in LMS;
- Maintain attendance reports, training tracker, and learning catalogue;
- Support internal trainers with bi-annual live technical orientations and distribution of training needs and feedback surveys;
- Support staff with Architectural Continuing Education learning credit applications and issuance of learning certificates.
Qualifications
Your Capabilities and Credentials
- Exemplary communication skills including writing, proofreading and editing;
- Experience working with confidential and sensitive information;
- Confidence in interacting with all management levels and external vendors;
- Ability to work independently with minimal supervision and in a team environment;
- Excellent time management and organizational skills;
- Great interpersonal skills such as initiative and attention to details;
- Basic understanding of construction terms and processes;
- Proficiency in MS Office Suite (Word, PowerPoint, Excel, Teams);
- Experience with Microsoft SharePoint or other document management platforms;
- Experience with Learning Management Systems such as TalentHub or equivalent;
- Experience with video production software such as Adobe Premiere Pro or TechSmith Camtasia is preferred;
- Experience with e-learning authoring tools such as Articulate 360 Storyline, Rise, or other alternatives is preferred.
Education/Experience
- Degree in Business Administration / Management or an equivalent combination of experience
- 5 or more years of administrative experience
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may require travel and include exposure to the elements including inclement weather.
