Receptionist / Administrative Assistant

Each year, we fly over 3,000 missions, providing worldclass critical medical care whenever and wherever we are needed, and every team member contributes to helping that VIP. We are currently looking for a Receptionist / Administrative Assistant at our Calgary base in the Corporate Services department.

While you may not be flying the helicopter or providing patient care, as a member of STARS’ Corporate Services team, you will play an important role in STARS’ life-saving mission. Be part of something bigger. Be part of our team.

Key Responsibilities:
Reception & Customer Service

Serve as brand ambassador as the first point of contact for visitors, contractors, guests, and stakeholders, both in person and on the phone
Manage incoming and outgoing mail and courier shipments

Administrative Support

Provide administrative support to the Provincial Director and general support to the base as needed
Coordinate and support base events such as recognition events and meetings, including making catering arrangements
Code and process invoices, and reconcile corporate credit card statements

Facilities & Base Operations

Act as the main contact to coordinate contractors and vendors to keep the base safe and well maintained
Manage supplies, equipment, fleet vehicles, service contracts, and ensure appropriate preventative maintenance is scheduled

Qualifications & Requirements:

High school diploma and 2+ years of experience in office administration and/or reception
Excellent verbal and written communication skills, with a professional, courteous, and customer-focused approach
Comfortable with technology, including strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint, and Teams)
Highly organized and detail-oriented, with the ability to prioritize competing demands, work independently, take initiative, and contribute effectively as part of a team
