Postion Description
Role: Finance Analyst
Team: Finance
Location: Toronto (Hybrid)
Key Responsibilities
Cash Management and Bank Reconciliations
- Own daily preliminary bank reconciliations and the recording of incoming payments and bank service charges in QuickBooks.
- Prepare and finalize monthly bank reconciliations; investigate and resolve reconciling items and discrepancies.
- Escalate returned payments and banking issues to the right stakeholders and drive them to resolution.
- Provide a daily view of cash receipts to the Finance Lead.
Revenue Cycle: Purchase Orders, Billing and Receivables
- Own the purchase-order-to-invoice process: enter POs in CRM and QuickBooks and link supplemental POs to master POs so both systems reconcile.
- Generate invoices against billing schedules, route them to designated contacts for approval, and submit them through customer procurement portals or directly to customers with payment options.
- Reconcile POs, billings and CRM records to catch unbilled or under-billed work.
- Monitor accounts receivable and flag overdue or at-risk balances.
Month-End Close and Job Costing
- Lead the job costing and GL coding review within the month-end close, coordinating with the finance team to meet reporting deadlines.
- Review recurring and memorized QuickBooks reports to confirm direct project costs are allocated to the correct customer and job, and operating expenses to the correct GL accounts.
- Analyze the Profit & Loss by Job report to identify jobs with hard costs but no revenue; investigate root causes, report findings to the Finance Lead, and follow through to correction.
Profitability Analysis and Reporting
- Prepare the monthly Job Profitability Summary, ensuring campaign names and business classes are accurately recorded and assigned.
- Analyze margin by client, campaign and business class; explain variances and trends to the Finance Lead and management.
- Build and maintain ad hoc financial, accounting and operational reports and analysis to support business decisions.
Customer Onboarding and Account Setup
- Coordinate financial setup for new customers: account records, billing setup and system entry across the CRM and QuickBooks.
- Maintain customer accounts and billing requirements, including portal and vendor-registration needs.
Accounts Payable and Payroll Backup
- Serve as backup for accounts payable, including invoice processing and related accounting tasks.
- Serve as backup for payroll processing and related administrative tasks.
Process Improvement and Special Projects
- Identify manual steps in reconciliation, billing and close, and recommend or implement improvements.
- Document procedures for the tasks this role owns so they can be covered or handed off.
- Respond to finance requests from management and internal stakeholders, and support cross-functional projects as required.
Pay Transparency Statement (Base Salary Only)
- The anticipated annual base salary range for this position is $60,000–$75,000. Individual compensation within this range is determined based on job-related factors such as experience, skills, level of responsibility, internal equity, and business needs. This range represents the expected base salary for this role and does not include other elements of Starshot/Tracxtion's total rewards program.
