Position Overview

We are seeking a detail-oriented and organized Regional Administrator to support the day-to-day administration of our residential property portfolio. This role is responsible for maintaining accurate documentation, supporting key property management processes, and ensuring administrative tasks are completed consistently and efficiently across assigned properties.

Reporting to the Senior Regional Administrator, this role works closely with Resident Experience Managers and Regional Portfolio Managers to support Yardi administration, resident documentation, accounts receivable tracking, move-in processing, purchase orders, work order administration, and compliance requirements.

Key Responsibilities

Property Administration & Documentation

Prepare and issue resident and tenant notices and maintain accurate supporting documentation.
Review move-in packages for completeness, accuracy, and compliance.
Support pre-authorized debit (PAD) setup and ongoing administration.
Maintain organized property and resident records in accordance with internal processes and requirements.

Yardi & Process Administration

Complete regular Yardi audits to support data accuracy and consistency across the portfolio.
Maintain and update resident, property, and administrative information within Yardi.
Identify missing or inaccurate information and coordinate corrections with the appropriate team members.
Support consistent administrative processes and reporting across assigned properties.

Accounts Receivable & Collections Support

Support accounts receivable tracking, including outstanding balances and followup requirements.
Assist with collections-related documentation and administrative follow-up.
Prepare documentation and support Residential Tenancy Dispute Resolution Service (RTDRS) filings as required.
Work with site and regional teams to ensure resident accounts and supporting documentation remain current.

Purchase Orders & Work Order Administration

Create and maintain purchase orders in support of property operations.
Review work orders for accuracy, completeness, and appropriate documentation.
Coordinate with internal teams to ensure purchase orders, work orders, and
supporting records are accurate and up to date.
Assist with tracking outstanding administrative items through completion.

Cross-Functional Collaboration

Provide administrative and compliance support to Resident Experience Managers across assigned properties.
Work closely with the Senior Regional Administrator on workload priorities, process consistency, and quality control.
Support Regional Portfolio Managers with accurate portfolio information and administrative reporting.
Collaborate with site teams and other internal departments to ensure timely and accurate information flow.

Qualifications

1–2+ years of property administration, residential property management support, or related administrative experience.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities and work accurately in a process-driven environment.
Proficiency in Microsoft Office, particularly Excel.
Experience with Yardi Voyager or a comparable property management platform is an asset.
Experience with accounts receivable, collections, or resident account administration is an asset.
Familiarity with the Alberta Residential Tenancies Act and RTDRS process is an asset.
Previous experience supporting multiple properties or locations is an asset.
Strong communication and collaboration skills with the ability to work effectively across teams.
