Time to take your exceptional construction knowledge to an exciting and tight-knit company!

On behalf of our client in the construction industry, we are looking for an Office Administrator in Halifax. The Office Administrator will be responsible for providing comprehensive office and operational support, ensuring smooth daily business routines and document workflows. This individual must possess strong organizational abilities, attention to detail, and the confidence to interface professionally with internal teams, sub-contractors, vendors, and clients. Working closely with Project Managers, Estimators, and company leadership, the Office Administrator fulfills an integral role in keeping the office running efficiently.

Key Responsibilities:

Managing physical and electronic filing systems, document archives, and project logs to ensure strict document control.
Scheduling project meetings, managing office calendars, and tracking employee vacation schedules.
Assisting with incoming client inquiries, phone settings, mail, courier shipments, and general day-to-day office communications.
Ordering and maintaining office, project, and safety supplies while sourcing competitive pricing from vendors.
Supporting team members with formatting presentations, marketing materials, website updates, and general documentation.
Coordinating office technology maintenance, service calls, mobile phone setups, and onboarding access for new employees.
Maintaining corporate records, vehicle registrations, insurance certificates, and annual membership renewals.
Processing and maintaining purchase orders, change orders, credit card records, and fuel card logs.

The Ideal Candidate Brings:

Post-secondary degree or diploma in Business Administration, Office Administration, or a related field is an asset.
3 or more years of administrative experience, ideally within the construction, engineering, or industrial sectors.
Familiarity with administration software and tools (e.g., JONAS, SharePoint, Dropbox) is considered a strong asset.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams) and Adobe Acrobat.
Strong organizational, multitasking, and time-management skills with high attention to detail.
Excellent written and verbal communication and interpersonal skills.
