Job Description:
We are seeking an experienced Executive Assistant to provide senior-level support to the VP, Head of Regulatory Office. This is a fast-paced role requiring strong judgment, discretion, exceptional organizational skills and a proactive approach to anticipating priorities and keeping work moving effectively.
The VP has a broad leadership portfolio across the Regulatory Office and Global Compliance, including oversight of Sun Life’s enterprise relationship with OSFI, Global Compliance Strategy, CCO reporting to executives and the Board, and Global Compliance Communications & Training. This role provides dedicated, comprehensive executive support to the VP across these responsibilities. This includes managing a complex calendar, coordinating meetings and materials, supporting executive and Board-related activities, tracking priorities and commitments, and anticipating upcoming needs and potential conflicts. It also provides support to the broader Regulatory Office team with administrative and meeting coordination, including scheduling OSFI and related meetings, coordinating logistics and materials, and supporting meeting follow-up. This role is well suited to a seasoned Executive Assistant who is comfortable working with senior leaders, thrives in a dynamic environment, and naturally looks ahead to anticipate what is needed next.
What will you do?
- Act as a proactive extension of the VP, anticipating needs, identifying emerging issues and looking ahead to upcoming decisions, deadlines, meetings and stakeholder requirements
- Manage a complex and dynamic calendar across the VP’s Regulatory Office and broader Global Compliance responsibilities, prioritizing requests, resolving conflicts and protecting time for critical priorities
- Coordinate meetings, travel and logistics, and ensure the VP has the information, materials, context and follow-up required to be prepared and effective
- Manage correspondence, action items and commitments on behalf of the VP, using judgment to identify matters requiring attention, escalation or timely follow-through
- Build strong working relationships with senior leaders, Board and executive offices, executive assistants and internal partners across a global organization to enable timely and professional compliance regulatory interactions
- Handle sensitive regulatory, executive, Board and employee information with a high degree of discretion and professionalism
- Schedule and coordinate OSFI and related regulatory meetings, including internal preparation meetings, interviews, briefings and follow-up discussions
- Coordinate meeting logistics, invitations, agendas, pre-reads, briefing materials and timely distribution to the appropriate participants
- Support note-taking, action tracking and follow-up where required for regulatory meetings, helping the team maintain clear ownership and deadlines
- Maintain organized meeting records, contact and distribution lists, trackers and shared workspaces that support regulatory engagements
What do you need to succeed?
- Extensive experience as a senior Executive Assistant supporting a VP or similarly senior executive in a complex, fast-paced corporate environment
- Demonstrated ability to anticipate needs, plan ahead, manage ambiguity and keep a senior leader and team ahead of changing priorities
- Exceptional calendar management, organization, attention to detail and follow-through, with the ability to manage multiple priorities and tight or shifting deadlines
- Sound judgment, discretion and confidence when handling confidential, sensitive or high-profile regulatory, executive and Board matters
- Strong written and verbal communication skills, with the ability to prepare polished correspondence and materials for senior audiences
- Confidence working across senior leadership offices and with executive assistants, and the professionalism to represent the VP and Regulatory Office effectively
- Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, Word, PowerPoint, Excel and SharePoint
- Experience in financial services, compliance, risk, legal, government or another regulated environment is an asset
- Candidate must be based in Toronto and able to work from the Toronto office a minimum of two days per week
Success in the Role
- The VP is consistently prepared, focused on the highest-priority matters and supported by proactive planning and disciplined follow-through across her full mandate
- Calendar pressures, dependencies and emerging issues are anticipated early, with fewer surprises and clear options for resolution
- OSFI and related meetings are efficiently scheduled and well coordinated, with accurate materials, clear logistics and timely follow-up
- Sensitive information is handled appropriately and stakeholders experience the VP’s office and Regulatory Office as responsive, organized and professional
- Administrative routines support clear accountability and effective execution across a dynamic, fast-paced team
What's in it for you?

- Flexible Benefits from the day you join to meet the needs of you and your family
- We’re committed to creating an inclusive and respectful environment. Our goal is to make sure all our employees have the chance to live up to their full potential
