Administrative Assistant

Sylvan is seeking a professional and organized Administrative Assistant to support daily office operations and serve as the first point of contact for employees, clients, and visitors. This role is ideal for someone who enjoys a fast-paced environment, takes pride in delivering exceptional service, and can effectively manage multiple priorities while maintaining a welcoming and professional front-desk presence. The Administrative Assistant will play a key role in keeping office operations running smoothly while providing administrative support across multiple teams.

Essential Duties & Responsibilities

Answer, screen, and direct incoming phone calls while taking and delivering accurate messages
Respond to general inquiries via phone and email in a professional and timely manner
Maintain an organized and welcoming reception area
Monitor office supply inventory and coordinate replenishment as needed
Receive, sort, and distribute incoming mail, packages, and courier deliveries
Prepare and manager outgoing mail and correspondence.
Perform general clerical duties including filing, photocopying, scanning, and document management
Provide administrative support and assist with overflow tasks for multiple departments as needed
Support day-to-day operations while ensuring a positive experience for visitors and employees

Required Skills & Experience

Administrative, receptionist, office coordinator, or related experience preferred
Proficiency with Microsoft Office applications including Outlook, Word, and Excel required
Strong verbal and written communication skills with the ability to interact professionally with employees, customers, and vendors
Excellent organizational skills and attention to detail with the ability to manage multiple tasks simultaneously
Willingness to learn, adaptability, reliability, and a strong team-player mindset
Ability to maintain highly professional and attentive front-desk presence while supporting multiple teams and priorities
