About the Role

SIC is looking for an Operations & Logistics Coordinator to join the team for a 1 year maternity replacement contract. Reporting directly to the Director of Operations, this person will play a key role in supporting the efficient coordination of SIC’s day-to-day operational and logistical activities. Working closely with employees, project teams, clients, suppliers, and internal departments, this position ensures that employees have the equipment, resources, travel arrangements, and administrative support required to successfully carry out their assignments.

This is a hands-on coordination role suited to someone who enjoys managing multiple priorities, anticipating needs, solving problems, and ensuring that details are followed through from start to finish.

Responsibilities

Coordinate employee travel and accommodations, including transportation, accommodations, itineraries, and other travel-related requirements for client assignments and projects.
Coordinate new employee operational readiness, including employee profiles, system access, timesheets, and other requirements to ensure employees are fully prepared for their start date and project assignments.
Manage IT equipment and inventory, including the procurement, delivery, distribution, tracking, and maintenance of computers, accessories, and other IT equipment assigned to employees.
Coordinate procurement and operational equipment, including PPE, uniforms, materials, and other equipment required for site operations; liaise with suppliers, monitor outstanding orders, and coordinate timely delivery and distribution.
Administer timesheets and support client billing, including collecting and validating employee hours, maintaining cumulative tracking records, following up on discrepancies, coordinating client approvals, preparing billing information, and supporting invoice processing.
Provide ongoing operational and administrative support to employees, project teams, clients, suppliers, and internal departments, responding to requests and coordinating follow-up on operational and logistical requirements.
Maintain accurate records and tracking tools related to employee information, travel, equipment, procurement, timesheets, client approvals, billing, and other operational activities.
Proactively monitor and follow up on outstanding requirements, anticipate operational and logistical needs, resolve issues, and ensure tasks are completed accurately and within required timelines.

What We Are Looking For:

Post-secondary education in business administration, operations, logistics, supply chain, or a related field, or equivalent relevant experience.
2–5 years of experience in an operations, logistics, administrative coordination, procurement, or similar role, ideally in a project-based or professional services environment.
Strong organizational and time-management skills, with the ability to manage multiple priorities, deadlines, and changing requirements while maintaining a high level of accuracy and attention to detail.
Strong communication, interpersonal, and follow-up skills, with the ability to work effectively with employees, clients, suppliers, project teams, and internal departments.
Proactive and solution-oriented approach, with strong problem-solving skills, sound judgment, responsiveness, accountability, and the ability to work independently in a dynamic environment.
Proficiency in French is mandatory. Proficiency in English is also required in order to communicate effectively with internal clients and partners located outside of Quebec.

À propos du poste
SIC est à la recherche d’un(e) coordonnateur(trice) des opérations et de la logistique pour se joindre à son équipe dans le cadre d’un contrat de remplacement d’un an pour congé de maternité. Relevant directement du directeur des opérations, cette personne jouera un rôle clé dans la coordination efficace des activités opérationnelles et logistiques quotidiennes de SIC. En étroite collaboration avec les employés, les équipes de projets, les clients, les fournisseurs et les services internes, cette personne veillera à ce que les employés disposent de l’équipement, des ressources, des arrangements de voyage et du soutien administratif nécessaires à la réalisation efficace de leurs mandats.

Il s’agit d’un rôle de coordination concret qui convient à une personne qui aime gérer plusieurs priorités, anticiper les besoins, résoudre les problèmes et assurer un suivi rigoureux des dossiers, du début à la fin.

Responsabilités principales:

Coordonner les déplacements et l’hébergement des employés, notamment le transport, l’hébergement, les itinéraires et les autres besoins liés aux déplacements dans le cadre des mandats et projets clients.
Coordonner la préparation opérationnelle des nouveaux employés, notamment les profils employés, les accès aux systèmes, les feuilles de temps et les autres éléments requis afin de s’assurer qu’ils sont prêts à leur date d’entrée en fonction et pour leurs affectations.
Gérer les équipements et l’inventaire informatiques, notamment l’achat, la livraison, la distribution, le suivi et l’entretien des ordinateurs, accessoires et autres équipements informatiques attribués aux employés.
Coordonner les achats et les équipements opérationnels, notamment les EPI, les uniformes, le matériel et les autres équipements requis pour les opérations sur site; assurer la liaison avec les fournisseurs, effectuer le suivi des commandes en cours et coordonner leur livraison et leur distribution dans les délais requis.
Administrer les feuilles de temps et soutenir la facturation des clients, notamment la collecte et la validation des heures travaillées, la tenue des suivis cumulatifs, le suivi des écarts, la coordination des approbations des clients, la préparation des informations de facturation et le soutien au traitement des factures.
Fournir un soutien opérationnel et administratif continu aux employés, aux équipes de projets, aux clients, aux fournisseurs et aux services internes, notamment en répondant aux demandes et en assurant le suivi des besoins opérationnels et logistiques.
Maintenir des dossiers et outils de suivi précis et à jour concernant les renseignements des employés, les déplacements, les équipements, les achats, les feuilles de temps, les approbations des clients, la facturation et les autres activités opérationnelles.
Effectuer de façon proactive le suivi des éléments en suspens, anticiper les besoins opérationnels et logistiques, résoudre les problèmes et veiller à ce que les tâches soient réalisées avec exactitude et dans les délais requis.

Ce que nous recherchons :

Formation postsecondaire en administration des affaires, opérations, logistique, chaîne d’approvisionnement ou dans un domaine connexe, ou expérience pertinente équivalente.
2 à 5 ans d’expérience en opérations, logistique, coordination administrative, approvisionnement ou dans un rôle similaire, idéalement dans un environnement axé sur les projets ou les services professionnels.
Excellentes compétences en organisation et en gestion du temps, avec la capacité de gérer plusieurs priorités, échéanciers et changements tout en maintenant un haut niveau de précision et d’attention aux détails.
Excellentes aptitudes en communication, relations interpersonnelles et suivi, avec la capacité de collaborer efficacement avec les employés, les clients, les fournisseurs, les équipes de projets et les services internes.
Approche proactive et axée sur les solutions, jumelée à de solides aptitudes en résolution de problèmes, un bon jugement, de la réactivité, un sens des responsabilités et la capacité de travailler de façon autonome dans un environnement dynamique.
