About this Role:

Reporting directly to the Founder and CEO, the Executive Assistant is a high-trust role responsible for providing comprehensive executive and administrative support while helping the CEO stay organized, focused, and responsive across a wide range of business priorities.

This role is ideal for someone who is highly organized, energetic, discreet, and comfortable operating in a small, entrepreneurial office where priorities can shift quickly. The successful candidate will be proactive, resourceful, and confident managing competing demands while ensuring important details and commitments are followed through.

Responsibilities include:

Providing confidential administrative and executive support to the Founder and CEO
Managing calendars, appointments, meetings, travel arrangements, and competing priorities
Monitoring and responding to emails and ensuring important matters are actioned or routed appropriately
Preparing and editing correspondence, presentations, documents, reports, and meeting materials
Recording and distributing meeting notes and following up on action items
Coordinating meetings, events, and internal and external engagements
Acting as a liaison between the CEO, internal team members, external partners, vendors, and service providers
Supporting special projects, research, reporting, and other business initiatives as required
Maintaining accurate files, records, reference materials, and confidential information
Anticipating priorities and proactively identifying areas requiring follow-up or attention
Taking ownership of routine, urgent, and hands-on tasks with the same level of care as higher-profile work
Helping ensure information, decisions, and action items move efficiently between the CEO and broader team
Working outside regular business hours on occasion when business priorities require it

About the Candidate:

The ideal candidate will bring at least 2 years of Executive Assistant experience supporting a senior executive and will demonstrate strong judgment, discretion, organization, and follow-through. This person should be proactive, resourceful, adaptable, and willing to take ownership of whatever needs to get done.

Strong Microsoft Office and Outlook skills are required, including experience managing multiple calendars and working across time zones. The successful candidate will be an excellent communicator who can prioritize effectively, work with minimal supervision, maintain accuracy under pressure, and handle confidential information with maturity and diplomacy.

The ability to anticipate needs, manage shifting priorities, and keep a fast-moving executive organized will be important. The right candidate will be comfortable taking initiative, solving problems independently, and following through without requiring significant direction.

Experience in property management, commercial real estate, professional services, hospitality, or another high-service environment is an asset. A B.A., B.Sc., or B.Comm. degree is preferred but not required for a candidate who brings the right experience and capabilities.

This is a full-time, five-day-per-week in-office position in downtown Vancouver. There is no regular work-from-home arrangement.

Compensation & Workplace:

This role offers a competitive base salary in the range of CAD $75,000-$95,000 annually, along with extended health and dental benefits, paid vacation, and RSP match.
