An established, multi-office architecture and design firm is looking to add an Architectural Project Coordinator to its Toronto team. This is an excellent opportunity for a technically minded professional with experience in architectural project delivery, documentation, and coordination to join a collaborative practice working on a diverse portfolio of projects across Canada. This role will grow into a Project Management role and so candidates should be aspiring to that direction or already have experience in Project Management.

The successful candidate will work closely with project managers, architects, and contract administration teams, helping ensure project information is organized, documentation is accurate, and deliverables are coordinated throughout the project lifecycle.

Eligibility requirement: Candidates must have resided in Canada for at least the past five years.

THE ROLE

As Architectural Project Coordinator, you will support project teams by managing documentation, coordinating information, tracking submissions, and maintaining efficient project workflows from design through construction. This position is well suited to someone with an architectural or technical background who is highly organized, detail-oriented, and confident communicating with a range of project stakeholders.

Key Responsibilities Include

  • Coordinate the preparation, distribution, and tracking of project documentation throughout the design and construction phases.
  • Maintain document control systems, ensuring drawings, correspondence, reports, and other project records are accurate, current, and properly archived.
  • Monitor project schedules and submission deadlines, including RFIs, shop drawings, payment certificates, and other construction-related documentation.
  • Coordinate communication and information flow between internal project teams, consultants, contractors, and clients.
  • Attend project meetings, prepare meeting minutes, document decisions, and follow up on outstanding action items.
  • Review, revise, organize, and distribute drawings and technical documents, ensuring appropriate approvals and professional seals are in place where required.
  • Assist project leadership and contract administration staff with administrative, technical, and coordination requirements.
  • Maintain high standards of document quality, consistency, and accuracy across project deliverables.
  • Communicate professionally with colleagues, clients, consultants, and senior project stakeholders to help keep projects on track.

What's Required

  • At least five years of relevant experience in architectural project coordination, project administration, project management or a similar position
  • Experience within an architecture, engineering, or multidisciplinary consulting firm.
  • A background as an Architectural Project Coordinator, Project Manager, Project Administrator, Project Management Assistant, or in a comparable role involving project coordination.
  • Strong verbal communication skills, with confidence participating in meetings, speaking with clients and colleagues, and handling telephone conversations professionally.
  • Excellent written communication, proofreading, editing, and document quality-control skills.
  • Advanced proficiency in Microsoft Office, including the ability to prepare professional reports, correspondence, presentations, and project documentation.
  • Post-secondary education in Architecture, Architectural Technology, Engineering, or a related discipline.
  • A minimum of five years of residence in Canada.
  • Experience with large-scale or technically complex projects is an asset.

What You Get In Return

  • Competitive compensation starting at $65,000, depending on experience.
  • A hybrid work arrangement offering flexibility between the office and home.
  • The opportunity to contribute to high-profile architectural projects across Canada.
  • A collaborative team environment with access to experienced project leaders and ongoing mentorship.
  • Opportunities for professional development, career progression, and long-term growth.
  • The chance to build on your technical and coordination skills within an established architecture and design practice.
