The Opportunity
Our client is a well-established organization operating within the construction and infrastructure sector and is looking to add a Procurement Administrator to its team.
This is an excellent opportunity for an organized and detail-oriented professional who enjoys working in a fast-paced project environment and wants to build their career in procurement, contract administration, and project delivery.
You’ll work closely with procurement, project, commercial, and project administration teams, helping ensure that subcontractor, supplier, purchasing, and contract documentation is accurate, up to date, and moving efficiently through the project lifecycle.
What You'll Do
- Coordinate the administrative processes associated with subcontractors, suppliers, vendors, and purchasing activities.
- Review vendor and subcontractor information to support onboarding and contract execution.
- Assist with subcontractor prequalification and communicate relevant information to internal stakeholders.
- Prepare, issue, track, and follow up on purchase orders, agreements, subcontracts, and related documentation.
- Maintain accurate procurement logs, registers, trackers, and project records.
- Create and process project purchase orders and assist with procurement-related transactions.
- Set up new vendors and maintain accurate vendor information within internal systems.
- Collect, organize, and maintain compliance and supporting documentation.
- Assist with the preparation and administration of procurement and contract documentation.
- Coordinate updates to supplier and subcontractor corporate information.
- Support weekly procurement reporting and provide status updates to project teams.
- Maintain organized electronic filing systems and document databases.
- Prepare meeting agendas, take meeting minutes, and distribute follow-up documentation.
- Identify opportunities to improve procurement administration, document control, and internal processes.
What You'll Bring
- Post-secondary education in Business Administration, Legal Administration, Commerce, Supply Chain, or a related field.
- 4+ years of experience in procurement administration, contract administration, project administration, document control
- A background in paralegal studies, civil engineering technology, architectural technology, or a related discipline will also be considered.
- Experience in construction, infrastructure, engineering, industrial, or other project-based environments is preferred.
- Familiarity with purchase orders, subcontracts, vendor management, and procurement documentation.
- Experience working with ERP or enterprise business systems.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to work effectively with internal teams, vendors, subcontractors, and other stakeholders.
- Understanding of construction contracts, procurement processes, and project documentation.
- Knowledge of construction contract administration and industry compliance requirements is an asset.
- Exposure to Ontario construction legislation and contract practices is an asset.
