Original job description

Job Title: Fuel Administrator

Department: Maintenance & Procurement

Reports To: Call Center, Risk & Fuel Manager

Job Summary:

$21 CAD/Hour | Full-Time | Onsite | Winnipeg, Manitoba

This is more than a typical administrative role. You’ll be at the center of a high-volume national fuel program, managing daily pricing, vendor relationships, driver subsidies, invoices, and financial data that directly impact a nationwide fleet.

If you’re detail-oriented, comfortable working with numbers, and enjoy being the person who keeps things running smoothly, this could be a great opportunity to build your career and grow into broader roles within the organization.

WHY YOU’LL WANT THIS ROLE

Make an impact: Your work will support financial decisions involving thousands of dollars every day.
Work cross-functionally: Partner directly with Settlements, Accounts Payable, Maintenance, and Operations.
Build your career: Gain exposure to multiple departments and opportunities for advancement.
Take ownership: Once trained, you’ll have the independence to manage priorities, investigate issues, and make informed decisions.
Work with vendors: Be involved in vendor communication, pricing, service, and problem resolution.
High visibility: Your work directly supports the accuracy and efficiency of a nationwide fleet operation.

WHAT YOU’LL BE DOING

Track and record daily wholesale fuel prices from at least five independent sources.
Analyze pricing to identify competitive vendor rates.
Calculate and upload accurate fuel subsidies across multiple divisions.
Manage and monitor a weekly invoice cycle worth close to $1 million.
Review vendor invoices to verify pricing accuracy and ensure timely processing.
Investigate transaction discrepancies and resolve driver fuel card issues.
Handle driver questions and disputes related to fuel purchases.
Review fuel and corporate card transactions for accuracy and unauthorized activity.
Communicate with vendors regarding pricing, service issues, and process improvements.
Participate in vendor meetings and represent the fuel program.
Work closely with Settlements, Accounts Payable, Maintenance, and Operations.
Help train and onboard new team members within the fuel function.

WHAT WE’RE LOOKING FOR

Administrative experience in a high-volume, deadline-driven environment.
Strong attention to detail and comfort working with numbers and financial information.
Excellent communication and conflict-resolution skills.
Ability to manage multiple priorities and meet strict deadlines.
Comfortable communicating with vendors, drivers, and internal departments.
Strong computer skills, particularly Microsoft Excel and Microsoft Office.
Ability to work independently and use good judgment when investigating and resolving issues.
Transportation or fleet industry experience is an asset, but not required.

COMPENSATION & WORK MODEL $21 CAD per hour

Full-time, onsite position
Standard business hours
Occasional extended hours may be required during peak periods, pay-period close, or invoice cycles
Winnipeg, Manitoba

THIS ROLE COULD BE A GREAT FIT IF YOU...

✔ Enjoy working with numbers and financial information

✔ Are highly organized and detail-oriented

✔ Like solving problems instead of simply passing them along

✔ Can confidently communicate with vendors and drivers

✔ Want more than a repetitive administrative position

✔ Are looking for an opportunity to grow within a larger organization
