Job Title: Fuel Administrator

Department: Maintenance & Procurement

Reports To: Call Center, Risk & Fuel Manager

Job Summary:

$21 CAD/Hour | Full-Time | Onsite | Winnipeg, Manitoba

This is more than a typical administrative role. You’ll be at the center of a high-volume national fuel program, managing daily pricing, vendor relationships, driver subsidies, invoices, and financial data that directly impact a nationwide fleet.

WHAT YOU’LL BE DOING

Track and record daily wholesale fuel prices from at least five independent sources.
Analyze pricing to identify competitive vendor rates.
Calculate and upload accurate fuel subsidies across multiple divisions.
Manage and monitor a weekly invoice cycle worth close to $1 million.
Review vendor invoices to verify pricing accuracy and ensure timely processing.
Investigate transaction discrepancies and resolve driver fuel card issues.
Handle driver questions and disputes related to fuel purchases.
Review fuel and corporate card transactions for accuracy and unauthorized activity.
Communicate with vendors regarding pricing, service issues, and process improvements.
Participate in vendor meetings and represent the fuel program.
Work closely with Settlements, Accounts Payable, Maintenance, and Operations.
Help train and onboard new team members within the fuel function.

WHAT WE’RE LOOKING FOR

Administrative experience in a high-volume, deadline-driven environment.
Strong attention to detail and comfort working with numbers and financial information.
Excellent communication and conflict-resolution skills.
Ability to manage multiple priorities and meet strict deadlines.
Comfortable communicating with vendors, drivers, and internal departments.
Strong computer skills, particularly Microsoft Excel and Microsoft Office.
Ability to work independently and use good judgment when investigating and resolving issues.
Transportation or fleet industry experience is an asset, but not required.

COMPENSATION & WORK MODEL $21 CAD per hour
