COMMERCIAL INSTALLATION SPECIALIST
About telMAX Inc.:
Based in York Region, telMAX is a private equity-backed all fibre digital infrastructure platform that provides a 21st century alternative to traditional telecom networks. Recognized for four consecutive years as Canada’s Fastest ISP with an industry-leading net promoter score of over fifty, telMAX is continuing its rapid growth plan to bring its all-fibre network to residential and business customers across Southern Ontario.
Your Position & How You Will Contribute:
The Commercial Installation Specialist is the central point of coordination for business and commercial fibre installations, from the signed order through to activation and billing. You will work with Sales, Design, Engineering, Construction, Onboarding, Network Operations, Dispatch, and our installation contractors to make sure commercial customers are installed on time, to specification, and billed accurately.
Reporting to the Manager, Field Operations within Customer Operations, you will own the day-to-day details of commercial installs: install planning, scheduling, contractor coordination, documentation, and reconciliation.
This is a detail-oriented role for someone who likes keeping complex projects organized and keeping customers and contractors informed. In this dynamic environment, you’ll have the opportunity to learn, contribute, and grow your career while helping build one of Ontario’s fastest-growing fibre networks.
Responsibilities & Key Duties:
Installation Coordination
- Coordinate commercial installation orders from handoff through activation, tracking each job against its milestones and target dates.
- Develop the install plan for each job in close partnership with Design, Construction, and Onboarding, confirming scope, site readiness, and design details with Sales, Engineering, and Network Operations before work is scheduled.
- Schedule and dispatch commercial installs with Dispatch and field teams, and manage rescheduling, access, and site-contact issues.
- Follow up on missed, delayed, or incomplete installs, identify root causes, and drive them to resolution.
- Keep business customers and internal stakeholders informed of job status.
Contractor and Subcontractor Coordination
- Serve as the day-to-day contact for contractors and subcontractors performing commercial installations.
- Assign work, communicate scope and specifications, and confirm completion and quality of work.
- Support contractor onboarding and performance reviews, and escalate quality, safety, or timeliness concerns.
- Maintain accurate contractor rate, scope, and contract information.
Procurement and Billing Reconciliation
- Reconcile contractor invoices against completed work orders, purchase orders, and agreed rates before they go to Accounts Payable.
- Identify and resolve discrepancies, duplicate charges, and missing documentation with contractors, Procurement, and AP.
- Track commercial job costs and flag variances.
Documentation and Process Improvement
- Maintain installation records, as-built information, and job documentation to company standards.
- Document and improve commercial installation processes, checklists, and handoffs between teams.
- Work with the field and systems teams to improve tools such as telME and Zendesk workflows.
Reporting and Performance Tracking
- Produce regular reports on commercial installation volume, install success, missed installs, aging jobs, and contractor performance.
- Highlight trends, risks, and recommendations to the Manager, Operations Strategy.
What You Bring:
- Organizational Skills: Ability to prioritize and manage many jobs at once.
- Communication: Clear written and verbal communication with customers, contractors, and internal teams.
- Attention to Detail: Accuracy with documents, invoices, and specifications.
- Problem-Solving: Comfortable following up until an issue is closed.
- Customer Focus: Commitment to resolving customer issues and improving satisfaction.
- Adaptability: Ability to stay calm in a fast-paced environment with changing priorities.
- Working knowledge of Excel and reporting tools; experience with Zendesk, field management, or work order systems is an asset.
Experience:
- 2-4 years of experience in telecommunications, fibre or construction coordination, project coordination, or operations.
- Experience working with contractors or vendors, including work orders and invoice review.
- Familiarity with fibre/FTTP, outside plant, or commercial network installations is an asset.
- Experience with business, enterprise, or multi-site customer installs is an asset.
Education:
- College diploma or university degree in Telecommunications, Engineering Technology, Business, Project Management, or a related field (or equivalent experience).
- Certifications (preferred):
- Safety Certifications: WHMIS, Working at Heights
- Technical Certifications: Fiber Optic Association (FOA), project coordination training
