Original job description

The Opportunity

Our Winnipeg Tetra Tech office is currently seeking a Receptionist/Intermediate Administrative Assistant to work approximately 40 hours per week. This position requires in-office presence; remote work is not an option for this role. The scheduled work hours are expected to be Monday to Friday, 7:45 AM to 4:30 PM. Hours and work days may vary based on project demands and office coverage.

This position is a fixed-term opportunity for 12 months. There is potential for the role to transition to a permanent full-time position, contingent upon organizational needs and the successful candidate’s performance.

T he selected candidate will be responsible for greeting clients, answering calls, and performing a variety of administrative tasks. The Administrative Assistant will share duties with other administrative team members, including coordinating and preparing technical and proposal documents and deliverables in accordance with internal and external client requirements and schedules.

Your Role

Reception duties, including greeting clients, answering incoming calls on a multi-line system, and managing correspondence
Format and produce technical documents, proposals, and other deliverables in electronic and hard copy formats, using MS Word
Proofread and edit documents
Assist with invoice coding, timesheet entry, expense report preparation, and travel booking
Provide general administrative support and guidance to office staff
Attend meetings and record and distribute meeting minutes

Qualifications

A post-secondary degree or diploma in business or administration is preferable
Minimum of 5 years of administrative experience, preferably with consulting engineering or project-related experience.
Must be proficient in Word, Teams, PowerPoint, Outlook, Excel, and Adobe Pro
Exceptional attention to detail
Confident and a self-starter
Ability to work with minimal supervision and as part of a team
Excellent written and oral communication skills
