Job summary
The Procurement Analyst provides day-to-day procurement support across The Fertility Partners' network of fertility clinics in Canada. Working closely with the Senior Manager, Procurement, this role supports clinics with ordering-related issues, including item pricing, vendor communications, sourcing and supplier price reviews. Orders are placed by the clinics; this role is their procurement support.
This is a hands-on role for an experienced procurement professional who can work independently from day one. Over the 12-month term, the incumbent will help strengthen and expand centralized procurement processes across the network.
Duties and responsibilities
Procurement operations (approx. 50%)
- Track clinic ordering issues and requests across the network, keeping records current and accurate.
- Act as first point of contact for clinic purchasing requests, triaging, clarifying requirements and routing to the right vendor or approver.
- Help clinics resolve ordering problems such as pricing discrepancies, backorders and delivery delays, working with vendors and internal teams as needed.
- Support the rollout of standardized procurement processes to clinics, including training clinic staff.
- Maintain clear, standardized procurement documentation, request templates, and process guides for clinic teams.
Sourcing and quote management (approx. 30%)
- Gather, normalize and compare vendor quotes for equipment, consumables and services, and prepare comparison summaries for decision-makers.
- Run annual and ad hoc price-list reviews with key suppliers, flagging increases, discrepancies and savings opportunities.
- Coordinate vendor evaluations and product trials with clinic and lab stakeholders, tracking feedback and next steps.
- Support the Senior Manager on negotiations by preparing pricing history, volume data and benchmark information.
Vendor and contract administration (approx. 20%)
- Set up and maintain vendor records, contacts and key terms, in coordination with internal teams.
- Maintain a central contract and vendor repository, including renewal and expiry dates, and give advance notice of upcoming renewals.
- Track service agreements, warranties, and maintenance schedules for clinic equipment.
- Monitor vendor performance issues (delivery, quality, responsiveness) and escalate as needed.
- Track and report realized savings and procurement activity to support monthly reporting to leadership.
Required skills and abilities
- Strong working knowledge of the purchase-to-pay cycle, enough to guide clinic staff through pricing, ordering, and invoice issues.
- Ability to work independently with minimal ramp-up, managing a high volume of requests across multiple sites.
- Advanced Excel skills (lookups, pivot tables, data cleanup) for quote comparisons, price-list reviews and tracking.
- Experience with ERP or procurement systems; NetSuite experience is an asset.
- Clear, professional communication with clinic staff, lab directors, physicians and vendors.
- Strong organization and attention to detail, with sound judgment on when to escalate.
- Comfort working in a fast-paced, growing organization with shifting priorities.
- Bilingualism (English and French) is a strong asset.
Education and experience
- Post-secondary degree or diploma in Supply Chain Management, Business Administration or a related discipline.
- 3-5 years of progressive experience in purchasing, procurement or supply chain operations.
- Experience in a healthcare, laboratory, medical device or clinical environment is strongly preferred.
- Experience supporting multiple sites or a centralized procurement function is an asset.
- Professional designation (CSCMP, CPSM or equivalent), or progress toward one, is an asset.
- Experience in a multi-site, private equity-backed, or high-growth organization is an asset.
