Original job description

Wilson Lue LLP is a leading Canadian intellectual property boutique based in Toronto, Ontario.

We’re excited to welcome a skilled, mid-level Intellectual Property Assistant to our team. Our assistants and lawyers thrive in a flexible hybrid/remote environment. In this dynamic role, you will support intellectual property professionals while contributing to essential administrative and accounting services.

Responsibilities

You will have the opportunity to work in a modern, paperless environment alongside an established team and an employer guided by strong core values. Your daily responsibilities will include:

  • Efficiently processing and filing correspondence from clients, foreign associates, CIPO, and the USPTO;
  • Keeping critical due dates organized and up to date in PATTSY WAVE, our docketing system;
  • Proactively reporting to and following up with clients to help keep deadlines on track, while supporting professionals with filing and prosecution tasks;
  • Preparing and drafting routine correspondence and legal documents;
  • Invoicing clients and following up on accounts receivable within established turnaround times;
  • Responding promptly and professionally to routine client inquiries;
  • Stepping in to support other assistants across the firm as needed;
  • Taking on other duties as assigned.

We are looking for a motivated professional who brings the following qualifications:

  • 3+ years of hands-on trademark docketing and clerical experience in an intellectual property environment;
  • Strong Microsoft Office skills, including Word and Excel, plus the curiosity and aptitude to learn new software and technology;
  • Experience with law firm billing software and IP docketing software, preferably PCLaw and PATTSY WAVE;
  • Clear, confident, and professional English-language communication skills, both written and oral;
  • A sharp eye for detail, a commitment to accuracy, and the ability to perform under pressure with minimal supervision;
  • A responsible, reliable, and punctual approach, with the ability to stay productive in a hybrid/remote, paperless environment;
  • A collaborative mindset, strong team skills, and the initiative to take ownership of your work.

Certification as a Canadian Trademark Administrator will be considered a valuable asset.
