About the Role
The Operations & Administration Manager supports the efficient operation of The Northern Miner Group through office administration, support to the President, sales and client administration, operational reporting, and event logistics. This is a hands-on role for someone who takes pride in keeping an office and team organized, supporting day-to-day needs, and following through the administrative details that keep the business running smoothly, while working collaboratively across the organization.

Office & Administrative Management
- Oversee daily office administration for TNMG and support EarthLabs operations, serving as a primary internal contact for administrative matters.
- Maintain an organized, professional, and well-functioning office environment, including coordinating office supplies and other routine office needs.
- Manage day-to-day administrative services and resources such as distribution lists, mail and deliveries, and banking.
- Coordinate onboarding support for new employees and contractors.
- Participate as an EarthLabs JHSC member, conduct workplace inspections, and coordinate related administrative activities.
- Provide hands-on administrative support as needed to help keep office operations running smoothly..
Executive Administration
- Provide executive support to the President of The Northern Miner Group, including calendar management, travel arrangements, executive correspondence, and expense reporting.
- Assist with board presentations, executive reports, and business documentation.
- Coordinate document reviews, approvals, and signature processes.
- Support leadership with sales reporting and business performance reporting as required.
Sales Operations & Commercial Support
- Administer CRM activities, including creating and maintaining products, opportunities, and sales-related records, to support the sales team and revenue-generating initiatives.
- Coordinate insertion orders and package setup within the CRM platform for TNMG and other broader EarthLabs sales and advertising programs.
- Assist with the administration and delivery of advertising and sponsorship packages.
- Support key client relationships and provide administrative coordination for strategic accounts.
- Conduct monthly audits to ensure closed sales opportunities are supported by signed agreements and required documentation.
- Prepare and distribute weekly and monthly sales and advertising analytics performance reports.
- Support video interviews and sponsored content programs by coordinating schedules, client communications, production requirements, and performance reporting.
- Provide backup support for subscription services, customer support, CRM approvals, and other commercial processes.
Accounting & Financial Administration Support
- Assist with expense allocations for EarthLabs Media / TNMG and provide supporting documentation.
- Update contract deliverable status to support Accounts Receivable with invoicing.
- Coordinate weekly cheque deposits and other administrative banking activities.
Events & Trade Show Coordination
- Coordinate logistics, exhibitor registrations, sponsorship administration, and communication for conferences, trade shows, and corporate events.
- Negotiate and renew contra and partnership agreements.
- Coordinate procurements, event materials and furnishings, shipments, and marketing materials.

Ad Hoc Duties
- Support projects and operational initiatives assigned.
You'll need to be/have... (Qualifications)
- Post-secondary education or higher in business administration or a related field is an asset.
- 2+ years of experience in office administration, office management, business administration, or a related hands-on administrative role is preferred.
- 2+ years of experience providing executive support, including calendar management, travel coordination, expenses, and business documentation, is preferred.
- Experience with events and travel planning and coordination is an asset.
- A hands-on, service-oriented approach with a willingness to take ownership of both routine and administrative needs and broader operational responsibilities.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication and interpersonal skills with professionalism and discretion.
- Meticulous attention to detail, sound judgment, and accuracy when handling financial, contractual, sales, and other confidential business information.
- Tech-savvy with strong proficiency in Microsoft Office; experience with CRM systems such as Odoo or Salesforce is an asset.
- Experience preparing reports, analyzing operational or sales data, and maintaining business records is an asset.
