Job Description:

Accountabilities:

1. Administrative Support

Respond to telephone, email, and in-person inquiries regarding the Kettle Campaign and directs inquiries to the appropriate staff member when required.

Ensures daily Kettle Host Feedback Forms are collected and secured for review.

Record, report, and communicate concerns related to kettle locations, volunteers, or program operations to the Kettle Campaign team.

Communicate supply needs for kettle locations and other operational requirements to the Kettle Coordinator.

Provide administrative information and documentation to support daily campaign reporting.

Provide administrative support as assigned by the Kettle Campaign team.

Support ad hoc requests related to volunteer scheduling and monitors coverage for assigned kettle shifts as required.

Work closely with the Volunteer Coordinator and Kettle Coordinator to follow up on vacant shifts and assist with arranging appropriate volunteer coverage.

Provide support to Kettle Hosts regarding schedules, locations, procedures, and campaign expectations.

2. Program & Evening Coordination

Connect with the Volunteer Coordinator and Kettle Coordinator to ensure evening logistics are in place to support the successful operation of the Kettle Campaign.

Monitor kettle locations throughout the evening and respond to operational concerns, including issues involving volunteers, location staff, or campaign procedures.

Implement Kettle Campaign guidelines and procedures to support Kettle Team leads in consultation with the Kettle Coordinator and Volunteer Coordinator.

Support Kettle Campaign staff and volunteers by providing information, directions, and assistance by phone, email, or in person.

Work with the Kettle Coordinator to maintain campaign equipment, materials, and supplies and assist with the development of an end-of-season inventory.

Ensure program staff and volunteers follow required checklists, procedures, and documentation.

Provide regular weekly report with updates to the Kettle Coordinator regarding campaign operations, volunteer coverage, donations, and concerns.

Gather relevant information throughout the campaign to support the Kettle Coordinator and Volunteer Coordinator in preparing the year-end report.

Understand and comply with applicable internal policies, procedures, and accreditation standards.

3. Financial & Donation Handling

Follows established financial controls and procedures when handling kettle donations.

Assist the Assistant Kettle Coordinator with the collection, counting, recording, bagging, and securing kettle donations.

Ensures all assigned kettles are accounted for and donation activity is accurately documented.

Assists with tracking supplies and materials related to the financial and operational requirements of the campaign.

Reports any missed or outstanding kettle pickups to the daytime Kettle Coordinator for follow-up.

WORKING CONDITIONS:

This is a temporary position ending December 31st, 2026

Shifts may include afternoons, evening shifts, Monday to Friday (typically 4:30-9:30PM). Some Saturday shifts as required. Flexibility in scheduling is required per the Kettle Campaign operational requirements and due to late Kettle pick-up.
The performance of the job duties requires bending, walking, lifting, and standing.
Required to wear appropriate Salvation Army identification.

Ability to lift/move up to 30 lbs. in a safe manner.

Education, Qualifications and Certifications:

Completion of a High School Diploma

Police Information Check (CRC)

Valid Class 5 Driver’s license

Personal vehicle and insurance available for work business purposes

A mobile phone, with sending and receiving text and image capabilities, that can be used for work business purposes.

Experience and Skilled Knowledge Requirements:

At least 6 months of relevant experience.

Competent at data entry and use of web database software and use of a multi-line phone.

Strong skills in all Microsoft Office products and good working knowledge and experience with email and internet-based programs

Skills and Capabilities:

Excellent organization, strong oral and written communication, and interpersonal skills

Self-motivated and disciplined

Participate as an active and responsible team member.

Ability to represent the organization in a professional and engaging manner.

Attention to detail, problem solving and analytical skills

Ability to work with little supervision but also able to accept direction when necessary.

Maintain information in confidence as required.

Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.

Treat the property of The Salvation Army with due care and caution.

Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.

Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Compensation:

The target hiring range for this position is $19.19 to $24.00 with a maximum of $28.79.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
