Join the Seaboard Armour Transportation & Logistics Team Today!

Position Overview: The Immigration Coordinator provides administrative support for the organization's employees on temporary work permits. This role works directly with HR, managers and employees to ensure work permit, visa, and immigration-related processes are completed accurately, on time, and in compliance with applicable legislation to maintain eligibility to work status.

This position does not provide immigration legal advice and is not required to hold RCIC designation. The focus is on documentation management, case coordination, compliance monitoring, reporting, employee communications, and process administration.

Key Responsibilities

Immigration Case Coordination

Collect, organize, review, and maintain immigration documentation and supporting records.
Track case progress and ensure required documentation is received within established timelines.
Maintain accurate case files and electronic records.

Compliance & Legislative Monitoring

Monitor work permit, visa, passport, and immigration document expiry dates.
Maintain immigration tracking systems and generate compliance reports.
Escalate compliance risks and upcoming renewals to HR leadership.

Employee & Manager Support

Serve as a primary point of contact for employees and managers regarding immigration process questions and status updates.
Prepare employee communications regarding application requirements, timelines, and documentation requests.
Provide guidance on internal immigration processes while referring legal questions to HR leadership

Data Management & Reporting

Maintain immigration spreadsheets and HRIS records.
Prepare regular reports on:

Active immigration cases
Upcoming renewals
Compliance risks
Work permit expiries
Program metrics and service-level timelines

Conduct audits of employee files and immigration records.

Administrative Support

Prepare letters, employer forms, supporting documentation, and government submissions as directed.
Coordinate signatures and approvals from leadership.
Manage correspondence with employees, immigration providers, and government agencies.
Support process improvements and documentation standardization initiatives.

Experience

What We're Looking For

2 years of experience in HR administration and/or Immigration administration
Experience supporting the Provincial Nominee Program, Atlantic Immigration Program, Temporary Foreign Worker Program (TFWP)
Knowledge of Canadian immigration processes and employer obligations.
