CUSTOMER ACCOUNT COORDINATOR

ABOUT US

Baléco and its trademark, The Unscented Company, are a dynamic B Corp and Women Owned certified business. We offer a complete range of natural products for the home and body that are effective, exclusively unscented, and designed for a sustainable lifestyle. Our mission is to simplify our lifestyle and reduce our collective impact, and we are proud to be part of high-growth companies in Canada that are changing consumer habits and industry standards.

THE ROLE

The Customer Account Coordinator follows each customer from first sample to repeat order. You’ll send samples, complete new-account and new-item forms, enter and invoice orders, support promotions, and answer customers and consumers about questions, returns, and feedback. What you learn goes back to the sales and cross functional teams. You’ll work alongside one other customer team member and cover for each other, so no customer waits. Your organized approach and warmth with customers will help The Unscented Company grow within our retail network of over 6,300 stores.

WHAT YOU’LL DO

Samples and onboarding: Ship samples, track follow-ups until the first order is secured, complete new account forms, and enter logistics and paperwork in the ERP.
New-item submissions: Complete retailer new-item forms (NIFs) with specs, pricing, and pack size, and implement automation ideas to cut manual errors.
Orders and invoicing: Enter and track orders (Canada and United States), web orders, and SPS orders, update purchase orders, liaise with order preparation, and invoice daily.
Data and price lists: Keep ERP, accounting, and CRM records current, and maintain master price lists, catalogs, and the store locator.
Promotions: Support promotions with customers and the sales team, from preparation to checking execution.
Retail communications and events: Support B2B email campaigns, draft monthly/quarterly broker updates, assemble ambassador-program kits, and help run trade shows and tabletop events (occasional on-site work).
Customer care: Manage the general inbox and AI-powered live chat, keep our AI FAQs up to date, and see returns, complaints, and reviews through to resolution.
Voice of the Customer: Join the daily team meeting, produce a monthly report on return costs, damaged boxes, complaints, and feedback, and share insights with management.
Sales materials and support: Build presentations, reports, sample trackers, wholesale-site content, and Power BI dashboards, support the Canadian and U.S. sales teams, and cover reception, phones, and office purchasing.
Continuous improvement: Use tools and AI to automate routine tasks and boost efficiency.

WHAT WE’RE LOOKING FOR

1 to 3 years of experience in customer service, order entry, sales support, or administration
Post-secondary training in business, administration, or a related field (BCom an asset)
Proficiency in Microsoft Office (Excel, Word); familiarity with CRM and ERP platforms and with business intelligence and AI tools
Excellent communication and follow-up skills, including mastery of spoken and written French and English
Patient, empathetic, organized, detail-oriented, curious, and a problem solver who works well independently and in a team

WHAT WE OFFER

Work schedule from 9 am to 5 pm, Monday to Friday, in person
Permanent, full-time position, after 3 month probation period
2 weeks of vacation (accumulated in year 1) and one week off for all between Christmas and New Year’s, 3 weeks after 3 years, and 4 weeks after 4 years
Group insurance after 3 months, 50%/50% program
20 hours of mandatory volunteering during working hours
50% discount on all products from The Unscented Company
Friendly and open work environment with excellent learning opportunities
Coffee all day, free parking, public transport access, and Patch, our dog, in the office
No perfume allowed in the office
