Original job description

The Purchasing Clerk is a site-based role responsible for the timely procurement of parts, materials, consumables, services, and equipment required to support safe and efficient mining operations at the Rainy River Mine, based in Ontario. The role works closely with maintenance, warehouse, operations, vendors, and accounting to ensure purchase requests are processed accurately, deliveries are tracked, and procurement records are maintained.

KEY RESPONSIBILITIES

Receive, review, and process purchase requisitions, change orders, and service requisitions from site departments.
Obtain quotations from approved vendors and compare pricing, availability, lead times, and delivery requirements.
Communicate with vendors regarding quotations, purchase orders, product availability, and delivery schedules.
Coordinate emergency purchases required to support production and maintenance activities.
Monitor open purchase orders, track deliveries, and expedite critical orders and shipments.
Review and match purchase orders, invoices, packing slips, and receiving documentation for accuracy.
Investigate and resolve pricing, quantity, receiving, invoicing, and delivery discrepancies.
Maintain accurate purchasing records, vendor files, procurement documentation, and system information.
Work closely with warehouse and inventory personnel to ensure materials are received and charged correctly.
Collaborate with Planners and Inventory Controllers to establish appropriate stock levels for required parts.
Support Maintenance and Operations by responding to material availability requests.
Review inventory levels and support replenishment planning for critical spare parts and operational consumables.
Source alternate vendors when stock shortages or delivery delays occur.
Coordinate freight and courier services for incoming materials and equipment.
Ensure purchases comply with company policies, approved budgets, and authorization requirements.
Support annual inventory counts and procurement audits.
Prepare purchasing reports and provide order-status updates to site leadership.
Perform other duties as assigned to support Maintenance and Operations.

QUALIFICATIONS

Required

High school diploma or equivalent.
2+ years of purchasing, procurement, inventory, or administrative experience.
Proficiency with Microsoft Office Suite, particularly Excel.
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Ability to prioritize multiple tasks in a fast-paced environment.
Strong attention to detail and accuracy.

Preferred

Post-secondary education in Business Administration, Supply Chain Management, or a related field.
Experience in mining, construction, industrial, or heavy equipment environments.
Experience with ERP systems such as GuideTi.
Understanding of procurement and inventory control processes.

Occasional lifting is requires to to approximately 50lbs
