Position: Import Coordination Administrator

Position Summary
Under the supervision of the Senior National Procurement Manager (SNPM), the Import Coordination Administrator (ICA) is responsible for the management of the operations and processes of the importation function at TIMBER MART and for providing advice and innovation on the topic of corporate processes for scheduling, receiving, and documenting the import of foreign goods and for ensuring that TIMBER MART positions itself as a business leader in the management of the activities pertaining to this matter, while ensuring that its management provides both internal and external customers with exceptional, timely and accurate service in accordance and harmony with the corporate goals.
Description of Responsibilities
Under the direct supervision of the SNPM, the ICA plans, manages, and evaluates the following portfolio of responsibilities, in a cost-efficient, sustainable and ethical manner aimed at promoting the best interest of TIMBER MART and its members and in supporting its corporative interest and commercial advancement.
- Advising on TIMBER MART import function: operating at both a strategic and operational level and recognizing the unique aspects of TIMBER MART import perspective to balance profitability, growth, and sustainability, both for the Company and its members, the ICA invest optimum efforts in:
a. Advising and generally making recommendations on all matters pertaining to TIMBER MART national and regional development of the commercially profitable importing of foreign goods.
b. Designing and managing systems aiming at supporting the import function in positively interacting with the Company’s members and vendors.
c. Designing and managing procedures representing best practices of sustainable commercial import models, including the appropriate recording of information and documentation pertaining to the corporate import activities.
- Management of TIMBER MART import function: at an operational level the ICA invest optimum efforts in ensuring that the corporate import activities respond to encountered challenges and opportunities for growth and development. More particularly:
a. Managing operations for scheduling, receiving, and documenting the import of foreign goods, during the entire process from original ordering up to the reception of the goods by TIMBER MART.
b. Administering the documentation processes required to import merchandise, during the entire process from original ordering up to the reception of the goods by TIMBER MART.
c. Preparing, reviewing and generally administering all documentation required to importing merchandise, licensing, coding, and calculations of duties, weight, and volume of products, tariffs, and price conversions.
d. Preparing, reviewing, supporting and generally administering import operations, including shipment logistics, documentation, and internal customer service, all required payment transactions, during the entire process from original ordering up to the reception of the goods by TIMBER MART.
Qualifications
- College/University degree in Logistics, Administration or Contract Management
- 5 years’ experience in a senior role of administrative management of importation of goods in Canada, professional experience acquired within the Building Materials and Hardlines industries being given distinct preference
- Or any valid combination of the two above-mentioned qualifications
- Possesses in-depth and up-to-date knowledge of customs rules and regulations pertaining to Canadian imports of Building Materials and Hardline products
- Ability to work in generally independent and collaborative environments is a strong asset
- Business level of knowledge of either Mandarin or Cantonese languages is a strong asset.
