Recruitment Administrator

Overall Purpose

Reporting to the Recruitment Officer, Recruitment, the Recruitment Administrator, will work closely with Recruitment Officer, in managing and coordinating the hiring, training and testing processes for support staff replacement staff.

The Recruitment Administrator, will:

support recruitment processes for support staff replacement staff (temporary, contract and casual);
serve as first point of contact for all temporary and contract staff recruitment inquiries including providing guidance, interpretation and information;
collaborate and liaise with Staffing units on recruitment issues;
administer help desk/dispatch services;
supervise designated staff;
assist with policy and procedural development; and
assist with the administration and development of the SFE system and related interfaces in SAP including analysis of data.

Summary of Duties

Assist in managing and coordinating the recruitment processes for various staffing pools of replacement staff;
Participate on and lead selection committees including making recommendations for hire;
Provide support to the Recruitment Officer with the day-to-day operations of the Recruitment unit;
Provide advice and guidance to employees and Principals/Managers regarding the interpretation and application of Employee Services policies and procedures and collective agreements as they relate to recruitment to the temporary/casual pool;
Liaise with Principals/Managers, school/department support staff, unions, and other external organizations;
Assist with the development of policies and procedures related to recruitment and selection process for temporary and contract staff;
Cultivate relationships with stakeholders and assist in promoting TDSB to external agencies including attendance at job fairs as required;
Supervise Help Desk and other clerical staff;
Support grievance process as required;
Collect, maintain and analyze accurate and comprehensive records and databases for reporting purposes;
Work closely with the Recruitment Officer in the administration and development of the Smart Find Express System(SFE) and related interfaces with SAP including implementation and testing of system upgrades;
Liaise with Powerschool, IT, and HRIS to ensure SFE problem resolution;
Monitor and intervene with help desk calls and interactions utilizing computer telephony integration (CIM/Apropos) and incident tracking systems (Remedy) as required;
Support and manage special projects, e.g. Recruitment, SFE upgrades and testing, etc.;
Assist with design and implementation of information packages;
Coordinate and assist with the development of departmental business procedures for quality control purposes;
Maintain current with recruitment initiatives including conducting research and attending professional development courses;
Provide leadership in fostering equity and inclusiveness in the development and implementation of programs and services;
Provide back-up support in the absence of the Recruitment Officer as required;
Provide support to other areas of Employee services as required;
Other related duties as assigned.

Qualifications

Three year community college diploma in human resources administration or related field with three years progressively responsible related experience, or an equivalent combination of education and experience;
Experience administering human resources procedures in a large organization;
Experience interpreting and administering collective agreement provisions;
Proven ability in promoting equitable practices which value inclusiveness and diversity;
Proven supervisory experience;
Computer skills that include word-processing, spreadsheets, databases, e-mail, Internet and employee information systems, including SAP, SFE, CIM/Apropos, Remedy;
Proven ability to communicate effectively (both orally and in writing) with staff, and internal/external organizations;
Excellent client service orientation;
Strong analytical/interpretative and problem-solving skills;
Strong project management skills and time management skills;
Proven ability to organize and co-ordinate a diverse number of projects;
Demonstrated ability to handle matters requiring high levels of diplomacy, sensitivity and confidentiality;
Knowledge and understanding of Board and/or departmental policies and procedures, collective agreements, employment/labour legislation, etc.;
Proven ability to work under pressure in order to meet frequent deadlines; and
Proven ability in promoting equitable practices which value inclusiveness and diversity.

Special Requirements

Ability to work overtime or irregular hours with little or no notice;
Some travel between TDSB sites and other non-TDSB sites.
